Position Summary:

The Logistics Assistant is responsible for supporting the logistics officer and team in managing and optimizing the flow of goods, services, and information. This role involves coordinating with procurement staff, tracking delivery of food packs, maintaining inventory levels, and ensuring timely delivery of food packs.

Supply Management:

  • Maintain accurate records of inventory levels and report to the logistics officer regarding stock levels.
  • Assist in conducting regular inventory audits and stock checks with the storekeeper.
  • Help in managing inventory replenishment and stock rotation.
  • Record consumption of food material on a daily basis and report to the logistics officer.

Data Entry and Documentation:

  • Enter and update supply chain data in relevant systems or Excel.
  • Maintain accurate and up-to-date records of shipments, inventory, and orders.
  • Prepare and generate reports on logistical activities and performance.

Communication and Coordination:

  • Communicate with suppliers, vendors, and internal teams to coordinate logistical activities.
  • Address and resolve any logistics-related queries or issues.
  • Provide support to the supply chain & logistics team in various administrative tasks.

Compliance and Quality Control:

  • Ensure compliance with safety policies and procedures related to logistical operations.
  • Assist in monitoring and ensuring quality control standards are met.

Continuous Improvement:

  • Support initiatives aimed at improving logistics efficiency and effectiveness.
  • Suggest and implement process improvements where applicable.

Competencies:

  • Respect and promote SIF values and mandate, and report to the line manager any non-respect of SIF’s policies amongst the teams or partners.
  • Address needs and requests in a professional way.
  • Always interact with children in the presence of their parents or caregivers.
  • Always respect beneficiaries’ confidentiality.
  • Report any incident or act that causes harm to beneficiaries or to others.
