Procurement

  • Establish contractual arrangements for premises and vendors/suppliers as per MAP policies and procedures.
  • Keep all relevant stakeholders informed of the treatment/updates/challenges related to procurements.
  • Ensure complete procurement process by preparing RFQ, ITBs, comparative statement, issuance of purchase orders, preparation of contract, preparation of GRNs & Waybills, etc.
  • Ensure that all contracts are registered by allotting them a contract reference no. 
  • Ensure that the tender document (to keep track of tender document register or allot a reference no) and the tender ad is prepared as per the donor requirement and Muslim Aid policy and procedure.
  • Abide by all applicable government, donor, and Muslim Aid procurement rules and procedures.

Facility Management

  • Ensure the office and its environment are well-kept and maintained to facilitate the smooth flow of office work without any adverse disruptions.
  • Monitor and manage the team of Receptionists, drivers, and Janitors to ensure they perform effectively and provide the required support services.
  • Ensures that buildings and grounds are clean and safe from emergencies such as fires or natural disaster damage. According to company policy, also provide security procedures like locks on doors.
  • Handle insurance plans and service contracts
  • Manage the upkeep of equipment and supplies to meet health and safety standards.

Event Management

  • Organizing seminars, workshops, and other events.
  • As and when needed, conduct in-house training programs, or share key learnings with relevant internal staff to address any unforeseen challenges for future.
  • Liaising and negotiating with the vendors.

Any other tasks assigned by the line manager.
