· Ensure maintenance and upkeep of all office facilities i.e. vehicles, telephone, electricity, and other office equipment i.e. photocopier, generator, printers, furniture & fixtures, etc;
· Supervision the support staff, to corroborate their activities by checking reports of vehicle log books, leave records, courier bills/receipts, telephone bills, and security-related data on a day-to-day basis;
· To generate Purchases/works requisition for various administrative items and verification of such bills before clearance/payments;
· Responsible for the Recruitment process of SPHF including identification of vacant positions, advertisement, short-listing of candidates, arranging the interviews, issuing offer letters to successful candidates;
· Maintaining smoothly all the administrative functions i.e. arranging the domestic/international visits/trips of the employees and foreign and local guests/officials and handle related logistics, arranging travel booking, hotel booking, cab arrangements, etc;
· Maintaining physical and digital personnel records like employment contracts, PER, Contingency employees, offer letters, renewals, etc.
· Up-to-date office vehicles including insurance, regular periodic maintenance.
· Process and track invoices, purchase orders, GRNs, Requisitions, and other financial documents as required.
· Any Other duty assigned by the Manager/top Management.
Order office supplies and research new deals and suppliers
• Liaise with executive and senior administrative assistants to handle requests and queries from senior managers.
• Produce and distribute correspondence memos, letters, faxes and forms.
• Handling office tasks, such as filing, generating reports and presentations, setting up for meetings, and reordering supplies.
• Maintenances HR Data, Leaves & Files around 400+ Employees.
• Inward/Outward Letters.
• Main Stock Register around 150+ stock.
Providing general clerical/administrative support, Maintain G.R, Payroll, Income/Outsource, Challans, & general financial administration.
Undertaking reception duties including answering telephone and responding to queries and enquiries and dealing with visitors where appropriate on behalf of the Head/Principal
Updating/maintaining manual/computerized record/MIS including system maintenance/back up files and provision of reports
Ordering supplies and equipment/maintain stock and classroom resources and arrange repair where necessary
Responsibility for pupil admissions – recording data/liaison other schools/class lists/timetables/management information.
Responsibility for first aid and the welfare of students including direct contact with parents/guardians
Update & maintain accounts journals, Ledger and other records detailing financial business transactions (e.g. expenses vouchers, receipts, accounts payable).
Summarizes current financial status by collecting information; preparing balance sheet, profit and loss statement, and other reports.
Examination of incoming goods (consignments) for quantity, type, quality, damage and shortage.
Documentation and strict clerical control of all issues of stock.
Daily cash collection from salesmen.
