Duties - HR:
· Respond to inquiries and ensures timely acknowledgement & feedback.
· Maintaining employee’s data base and personal files.
· Prepare and modify documents including NOCs, offer letters, appointment letters, contracts, renewal letters, warning letter, termination letter, experience certificates and correspondence, reports, drafts, memos and emails as per need.
· Administering new employee’s recruitment and selection process.
· Sourcing and screening of candidates as per position requirements, maintaining a CV database and call screening.
· Manage interview schedules, conducting first round of interviews, negotiating offers and follow up.
· Monitoring and administering new employee’s background checking, Visa stamping process, Medical and EID process and health insurance and timely updating the employees’ database.
· Arranging orientation and training for new recruits.
· Managing renewals including labor card, Emirate ID, visa, company license and other legal documents.
· Managing medical insurance and renewals for the staffs and also insurance claims and reimbursements.
· Arrange end of service meetings and handle end of service settlements of employees.
· Attendance management and leave management system of employees.
· Processing of payrolls.
· Assist management in performance management procedures.
· Performs other related tasks as assigned by management.
Duties - Admin:
· Schedule and coordinate meetings, appointments and travel arrangements for Managers.
· Monitoring and administering Vehicle Files including new vehicle purchase (getting quotation, finalizing deals & arranging insurance) and registration with RTA and old vehicles registration renewal.
· Ensure impeccable archive – hard and soft copies of all the important documents and office data including licenses, agreements and other legal documents safely and ensure confidentiality.
· Organizing the office layout and maintaining supplies of stationery and equipment and dealing and negotiating with suppliers.
· Responding to incoming email and phone enquiries.
· Arrange and organize the training conducted.
· Keep summaries and detail reports of all the training conducted.
· Prepare call letters, appointment letters, staff contracts, renewal letters, and experience certificates for staff members, trainees, students and volunteers.
· Maintain and update staff personal files and records.
· Keep attendance records of staff projects/centers.
· Update HR Database.
· Maintain record and attendance of field work students
· Arrange different events.
· Accomplishes organization mission by completing related result as needed.
· Other responsibilities deemed necessary by the Executive Director
