Knowledge of this work experience coupled by over 30 years of working experience has grounded me as a professional, and is an asset that I can bring to any organization.
As a Senior Admin and Procurement Person, I am fully aware of the tender Bidding process, Routine procurements and supplies, HR, organizing of meetings, trainings, workshops for staff, service agreements, Supervise janitorial Services and potential supplier pre-qualification information. I prepared and executed small big valued purchase orders. Being the admin part, I was responsible for the preparation of agenda and Meeting minutes for the team, maintain vendor file and maintain logistics cost tracking database for all domestic and international shipments. Being an admin person, I have a good experience on record keeping of low/ high value inventory items, fleet management and provision of facility management to projects/ programs.
As an Admin person, I am fully aware of the competency based interviewing techniques and I have trained numerous recruiters and done new recruits on administration, logistics, procurement HR related tasks. Working as Senior Administrator under the direct supervision of Chief Executive my responsibilities are as following.
To Adapt the Department to the future setup of organization
Organize and maintain intra department and inter department coordination and cooperation.
Coordination and cooperation between the Administrative staff at the main office and sub centers.
Responsible to manage all tasks related to Procurement, Purchases, Logistics and Fleet Management, Premises and Human resource matters in Peshawar and sub offices located in different areas of KPK.
Work in close coordination with Finance Manager for forecasting, budget preparations, budget monitoring, conducting of internal and external Audits etc.
Managing P2P (Procure-to-Pay) process, Development of procurement plan, preparation of Terms of Reference (TORs), Request for Quotations (RFQs), Request for Proposals (RFPs), Invitation to Bids (ITBs), Purchase orders (POs), Goods Receiving Note (GRN) and Payment.
Provide communications, and advice on all aspects of P2P to ensure compliance with strategies, purchasing channels, policies, processes, and procedures – in line with SOPs.
Monitor & Review performance of procurement service contract, and service quality.
Responsible for scrutinizing of all offers, processing of purchase order and follow up of contracts.
Responsible for hiring of Consultants and preparing of Contracts.
Provide support to Segments on any complex procurement requirements.
Manage day-to-day dealings with Suppliers & participate in Supplier assessments.
Work with all relevant parties in the consolidation, reduction and rationalization of Suppliers in the Approved Prequalified Vendor List.
To supervise and control Stores and store procedures.
Preparation and maintenance of inventory of organizational assets.
Responsible for processing of organization staff hiring/ firing.
To arrange, organize, attend and participate in meetings, workshops, for and on behalf of the organization.
Dealing and Correspondence with Govt offices and relevant line departments.
Looking after maintenance/ repair and Security matters of the premises.
Overall supervision for smooth and Economical functioning to ensure quality services to other Program Management office Departments.ÂÂ
