The Receptionist is responsible for handling incoming calls, greeting visitors, and providing administrative support. This role involves coordinating communication between different departments, scheduling appointments, and ensuring smooth office operations. The ideal candidate will have strong communication skills, a pleasant demeanor, and the ability to multitask in a fast-paced environment. 

Front Desk Operations:

  • Greet and welcome visitors, ensuring a positive and professional first impression.
  • Answer, screen, and direct incoming phone calls to the appropriate personnel or department.
  • Manage the front desk by maintaining a clean and organized reception area.

Calling and Communication:

  • Handle outgoing and incoming calls with professionalism, directing inquiries to the correct departments.
  • Provide accurate information to callers and take messages when necessary.
  • Follow up on calls and appointments as required by different departments or management.
  • Assist in customer service by addressing queries or concerns over the phone and relaying them to the concerned department.

Coordination:

  • Schedule and coordinate meetings, appointments, and conference room bookings.
  • Act as a point of contact between clients, employees, and managers for coordination purposes.
  • Assist with organizing internal events and meetings, ensuring all necessary preparations are made.
  • Maintain and update the contact directory and phone lists for internal coordination.

Administrative Support:

  • Handle incoming and outgoing mail and deliveries.
  • Assist with maintaining office supplies inventory by checking stock and placing orders when necessary.
  • Perform basic clerical tasks such as filing, photocopying, and data entry as needed.
  • Ensure proper communication flow between departments by relaying information efficiently.

Customer Service:

  • Prvide exceptional customer service by addressing visitor and client needs, resolving basic inquiries, or directing them to the appropriate resource.
  • Handle customer complaints or concerns and escalate them to relevant departments or management when necessary.
