The Seafarer Freight Forwarders is seeking an experienced professional for the Documentation Job role focusing on document control processes. The ideal candidate will have extensive experience in managing import, export, and marketing documentation to ensure smooth and compliant freight forwarding operations. This role requires someone who thrives in a fast-paced logistics environment and can maintain accuracy and organization in handling critical shipping documents. The candidate will be responsible for overseeing documentation workflows, coordinating with various departments, and ensuring compliance with industry regulations and company policies. In addition to handling documentation tasks, this role includes managing a team of 10 persons, providing leadership, training, and supervision to maintain high standards of operational excellence. The candidate must demonstrate strong communication and organizational skills to lead the team effectively while improving efficiencies in import and export documentation. Working closely with the marketing and sales divisions, the role encompasses ensuring all shipment and freight details are accurately documented and processed to facilitate timely delivery and customer satisfaction.
Responsibilities

  • Oversee the document control process for import, export, and marketing operations, ensuring completeness and accuracy.
  • Manage a team of 10 documentation staff, providing direction, support, and performance evaluations.
  • Coordinate with freight forwarding, shipping, customs, and marketing departments to facilitate smooth flow of documentation.
  • Maintain compliance with local and international shipping regulations, customs requirements, and company policies.
  • Prepare, review, and verify shipping documents including bills of lading, invoices, packing lists, and certificates of origin.
  • Implement efficient document management systems to track and archive shipping documents accurately.
  • Collaborate with marketing executives to support import/export marketing activities through effective documentation.
  • Monitor deadlines and schedules to ensure timely submission and processing of all shipping documents.
  • Provide training and guidance to documentation staff to enhance knowledge and skill levels.
  • Identify and resolve documentation discrepancies or issues promptly to prevent shipment delays.
  • Generate regular reports relating to import/export documentation status and team performance.
  • Liaise with customs officials and other regulatory bodies to ensure smooth clearance procedures.
