Swanfleets is seeking an organized and detail-oriented Non-Emergency Medical Transportation (NEMT) Scheduler to manage scheduling and dispatch of transportation services across multiple healthcare facilities. The ideal candidate coordinates and optimizes vehicle assignments, ensuring safe, timely, and compliant transport for ambulatory, wheelchair, stretcher, and Basic Life Support (BLS) patients. This role demands strong communication, scheduling expertise, and familiarity with dispatch software to maintain operational efficiency and patient confidentiality in alignment with HIPAA regulations. The NEMT Scheduler efficiently handles daily transportation schedules, adjusting in real time to accommodate changes like cancellations, emergencies, or new requests. The role includes maintaining meticulous records, coordinating with billing and authorization teams, resolving conflicts professionally, and preparing dispatch reports. Candidates must possess strong problem-solving skills, the ability to multitask in a fast-paced environment, and a commitment to delivering reliable transportation services that meet the needs of patients and healthcare providers alike.
Responsibilities

  • Schedule and coordinate non-emergency medical transportation requests for ambulatory, wheelchair, stretcher, and Basic Life Support (BLS) patients.
  • Assign trips to available ambulances, wheelchair vans, and transport crews based on patient needs, vehicle availability, location, and priority.
  • Monitor daily transportation schedules and make real-time adjustments to accommodate cancellations, delays, emergencies, and new requests.
  • Maintain accurate records of scheduled trips, completed transports, cancellations, and service issues using dispatch or scheduling software.
  • Ensure compliance with HIPAA regulations and company policies regarding patient confidentiality at all times.
  • Coordinate with billing and authorization teams to confirm required documentation and insurance approvals when necessary.
  • Track vehicle and crew availability to maximize operational efficiency and resource utilization.
  • Resolve scheduling conflicts, customer concerns, and transportation issues promptly and professionally.
  • Prepare daily dispatch reports and communicate shift updates to supervisors and relevant staff.
  • Utilize route planning and optimization tools to improve scheduling efficiency and reduce delays.
  • Operate Computer-Aided Dispatch (CAD) software and other dispatch management systems to support scheduling activities.
  • Maintain knowledge of ambulance operations and EMS terminology to ensure effective scheduling and communication.
  • Work flexible shifts including evenings, weekends, and holidays to meet operational requirements.
  • Apply strong organizational and problem-solving skills to prioritize tasks in a fast-paced work environment.
