The Operations Assistant will report to designated staff, and provide logistic support and other tasks as assigned, and shall work in collaboration with other designated operational assistants to provide smooth operational Services. The detailed tasks to be performed by the Operation Assistant include, but not limited to, the followings:

  • Regularly update contact details of personnel in Unit in consultation with all units in HO.
  • Prepare expense sheets for contractual drivers.
  • Provide admin support to designated Staff. Arrange travel logistics of designated  staff on in-land and abroad missions.
  • In guidance from Senior Staff, make meeting, workshop arrangements, prepare relevant materials, including attendance sheets. 
  • Arrange guest clearance for entrance into office, VVIP passes in advance from (SBC) for smooth entrance for office guests.
  • Support Headquarter (HQ) visiting missions on their travel in Pakistan to other cities and arrange meetings; update the lists for year-end material and onward dispatching. 
  • Arrange tea/refreshment/lunch for meetings/Loan Negotiations
  • Arrange travel-related arrangements for Finance and Administration (F&A) staff (Concur Requests) and provide admin support as needed.
  • For Economic / Program Units and on External Relations: send & respond to meeting request; file documents both on SharePoint and Hard files; circulate Technical Assistance 
  • (TA) documents for departmental review; update SharePoint tracking app for nominations and no objection letters; prepare track sheets for incoming documents; arrange logistics support for virtual/physical loan negotiations/workshops; process translations request and payment invoices. 
  • Urban and Energy Units: Obtain quotations from hotels, compare, and finalize for workshops; send invitation of workshops and follow up the nominations; Update SharePoint tracking sheet of projects; Prepare track sheets for incoming documents; 
  • Support HQ missions for their hotel booking and travel to other cities and arrange meetings
  • Provide operational support to units/sectors in office when required or to alternate when operations assistant of such unit is on leave.
  • Carry out any other tasks related to operational assistance in office, as requested. 
  • Performs any other duties as may be required, including but not limited to, retrieving files/documents for preparation of reports, preparing tables and charts for reports, assisting office visiting missions, and other routine office administrative functions.
