ORGANIZATIONAL CONTEXT: The incumbent will be based in WFP Multan office and will report to the Logistics Associate/ Officer or the designate. Job holder is exposed to all phases of the warehouse operations and work with minimum supervision. He/She may provide supervision and on-the-job training to other warehouse staff.

JOB PURPOSE: To handle receipt/dispatch and verification of commodities in order to maximise quality of warehouse operations and mitigate losses, and to support the best storage management practices in compliance with WFP warehouse standards and established guidelines.

KEY RESPONSIBILITIES (not all-inclusive, nor exhaustive):

1. Commodity Receipt and Dispatch: 

Supervise the receipt and dispatch of food and non-food commodities, including transshipments (e.g., truck-to-truck operations), ensuring accurate physical counts and quality verification against official documentation such as waybills and delivery notes. Ensure all movements are properly recorded and discrepancies are immediately addressed. 

 

2. Documentation and Record-Keeping: 

Prepare, verify, and sign off on warehouse and transport documents. Maintain secure, organized, and up-to-date records of all warehouse transactions to support timely and accurate reporting in line with WFP corporate systems and audit requirements. 

 

3. Inventory Management and Reconciliation: 

Conduct daily inventory reconciliations and support periodic stock counts. Ensure that internal control mechanisms are followed to maintain inventory accuracy and prevent losses or mismanagement. 

 

4. Quality Assurance and Loss Investigation: 

Perform routine inspections of commodities to assess quantity and quality. Identify and analyze discrepancies, damages, or losses, and prepare detailed warehouse loss reports with recommended corrective actions for management review. 

 

5. Commodity Safeguarding and Compliance: 

Implement standard preventive measures to protect commodities from spoilage, contamination, theft, or damage. Ensure all storage and handling practices comply with WFP procedures and supervisor authorizations. 

 

6. Warehouse Maintenance and Space Optimization: 

Monitor the physical condition of the warehouse, ensuring cleanliness, safety, and optimal space utilization. Organize commodities systematically to facilitate efficient access, movement, and inventory control. 

7. Staff Supervision and Capacity Building: 

Provide guidance, supervision, and on-the-job training to warehouse staff. Promote adherence to operational standards and contribute to team development and performance improvement. 

 

8. Perform other related duties or assignments in line with the position level and expertise as assigned by activity manager. 

 

STANDARD MINIMUM ACADEMIC QUALIFICATIONS:

Education: Completion of secondary school education. A post-secondary certificate or bachelor's degree in the related functional area is desirable. 

 

Experience:

  • Minimum 4 years of experience in logistics, warehouse operations or related field. 
  • Experience using logistics databases to extract routine reports. 
  • Experience in managing warehouses with food and NFIs. 
  • Experience in managing inventories. 
  • Experience in processing invoices.

Language: Fluency in both oral and written communication in English and Urdu.
