The Office Administrator is responsible for the efficient and smooth operation of the office environment by providing comprehensive administrative support, implementing efficient systems, and ensuring a positive workplace culture. This role is crucial in optimizing daily operations and contributing to overall company productivity.
Administrative Support: Manage office supplies, coordinate vendor services, assist with organizing company events, and provide IT support coordination. Resolve issues raised by employees related to office administration in a timely manner. Conduct periodic employee surveys regarding employee satisfaction with office operations and suggestions for improvement. Keep employees informed through regular emails about progress on the resolution of any office operations issue.
Purchasing: Ensure timely purchase of office supplies, equipment, and services through competitive quotes. Ensure all purchases comply with the company’s purchasing policy.
Office Management: Develop and implement procedures for the daily work schedule of office support staff to maintain a clean and organized office, ensure regular equipment and furniture maintenance, office plants maintenance and related office policies.
Building Management: Liaise with the Landlord regarding services that are the Landlord’s responsibility such as provision of electricity, gas, water, air conditioning, and repairs to ensure interruptions do not disrupt office operations. Timely negotiations for office lease renewal.
Documentation and Record Keeping: Maintain accurate company asset records, organize company documents, and prepare reports and presentations for senior management.
Workplace Safety: Develop and implement a Fire Safety and Evacuation plan in case of an emergency. Ensure all new and existing employees clearly understand the emergency procedures and conduct periodic refresher training.
Office Security: Implement, and where needed develop procedures to ensure the security of the office during and after office hours and prevent unauthorized entry into the office.
Energy Management: Oversee the efficient use of utilities, particularly electricity. Monitor and optimize AC usage to ensure optimal temperature settings while minimizing energy consumption. Track monthly electricity usage, analyze cost trends, and implement measures to reduce expenses. Develop and implement energy-saving initiatives to improve overall energy efficiency and reduce the environmental impact of the office.
