Arrange all supplies and equipment in a timely manner, ensuring they are available well before deadlines
Plan purchase activities, considering supplier location, cost-effectiveness, and availability
Obtain quotations and prepare comparative statements for capital items
Negotiate prices and terms for assigned purchases
Ensure all supporting documents are available for audits and reviews
Prepare, maintain, and review purchasing files, reports, and price lists
Liaise closely with the accounts department to ensure timely payment to suppliers
Ensure that materials provided by vendors meet the hospital’s quality standards
Coordinate the receipt, processing, distribution, and storage of goods
Plan, monitor, and control the inventory of assigned items
Monitor all shipments to ensure they are properly coded
Conduct performance evaluations in line with standard practices and collective agreements
Manage requisition analysis and tracking systems
Receive all incoming hospital supplies and materials
Prepare receiving reports for accepted materials
Prepare vendor reports and process bills as per the assigned area
Conduct miscellaneous stock analyses
Collaborate with the purchasing department to ensure timely delivery and regular feedback to end users
Inspect incoming items to ensure quality and quantity match delivery documents
Replenish stock according to the prescribed inventory system
Ensure proper labeling and identification of items, bins, and racks
Monitor the counting, weighing, and measuring of received and issued items
