Position Summary:

The Office Boy is responsible for providing administrative support to ensure the smooth operation of the office. This role involves performing various tasks such as messenger services, photocopying, and maintaining office cleanliness.

Administrative Support

  • Provide administrative support to staff members as needed.
  • Assist with tasks such as photocopying, scanning, and binding documents.
  • Maintain the office's filing system, both physical and digital, ensuring confidentiality and security of sensitive information.

Messenger Services

  • Deliver and collect documents, packages, and other items as required, ensuring timely and secure delivery of confidential documents.
  • Liaise with external partners, vendors, and stakeholders as needed.

Office Maintenance

  • Maintain the office's cleanliness and organization, including the reception area, meeting rooms, and staff kitchen.
  • Ensure that all office equipment is in good working condition, reporting any maintenance or repair needs to management.

Errands and Tasks

  • Perform various errands and tasks as requested by staff members, such as picking up supplies or going to the post office.
  • Assist with setting up meeting rooms and preparing materials for meetings.

Communication and Interpersonal Skills

  • Provide excellent customer service to visitors, staff members, and external partners, upholding the principles of respect, dignity, and compassion.
  • Maintain confidentiality and handle sensitive information with discretion.

Safety and Compliance-

  • Follow all safety guidelines and protocols to ensure a safe working environment, adhering to the organization's security policies and procedures.
  • Report any safety hazards or concerns to management promptly.

Competencies:

  • Respect and promote SIF values and mandate, and report to the line manager any non-respect of SIF’s policies amongst the teams or partners.
  • Address needs and requests in a professional way.
  • Always interact with children in the presence of their parents or caregivers.
  • Always respect beneficiaries’ confidentiality.
  • Report any incident or act that causes harm to beneficiaries or to others.
  • Aware of child protection/safeguarding concepts.
