The Procurement and Supply Chain Manager will lead the end-to-end procurement processes within the organisation, ensuring compliance with all relevant regulations, local laws, policies/ procedures, and the best practices. The manager will aso oversee the entire supply chain to meet the organization\'s and our clients\'needs. This includes but is not limited to, vendor selection, contract negotiation, and supply chain management.

The position will also need to effectively collaborate with cross-functional teams to ensure cost-effective and transparent purchasing activities, vendor performance management, and the utmost neutrality in implementing risk mitigation strategies. This role will also require a strong focus on transparency, ethical procurement practices, and mitigating corruption risks.

Key Responsibilities:

Procurement Strategy & Planning:

  • Develop and implement transparent procurement processes in line with client reporting standards to ensure the timely acquisition of goods and services.
  • Establish and maintain procurement policies and procedures that ensure compliance with legal requirements, industry standards, and best practices and mirror clients\' needs and requirements.
  • Identify opportunities for cost savings and process improvements across the supply chain.

Vendor Management:

  • Lead the vendor selection process, including market research, due diligence, and evaluation of potential suppliers.
  • Develop and maintain strong relationships with key vendors, ensuring they meet the company’s quality, delivery, and pricing requirements.
  • Implement vendor performance management systems to monitor and evaluate supplier performance continuously.
  • Ensure all vendors comply with company policies, ethical standards, and anti-corruption practices.
  • Bring continuous and proactive monitoring and improvements to pre-defined vendor lists during business.

Contract Negotiation and Management:

  • Negotiate contracts with suppliers to secure the best terms and conditions, including pricing, delivery schedules, and payment terms.
  • Manage and monitor contract execution, ensuring all terms and conditions are met.
  • Oversee the renewal and termination of contracts by company policies.

Supply Chain Management:

  • Oversee the end-to-end supply chain operations, including planning, logistics, inventory management, and distribution. Optimise supply chain processes to improve efficiency, reduce costs, and ensure timely delivery of goods and services.
  • Collaborate with internal stakeholders to forecast demand and ensure adequate stock levels. Lead initiatives to adopt new technologies and innovations that enhance supply chain operations.
  • Track and report on supplier performance, implementing corrective actions if needed to maintain the efficiency and reliability of the supply chain. Develop supply chain performance metrics and implement corrective actions when necessary.
  • Ensure sourcing policies align with sustainability goals and ethical practices. Develop contingency plans to mitigate risks related to supply chain disruptions.

Compliance Management:

  • Ensure all procurement activities are conducted with the highest level of transparency and in compliance with company policies, industry regulations, and anti-corruption laws.
  • Implement and monitor internal controls to prevent fraud, corruption, and unethical practices in the procurement process.
  • Conduct regular audits/ spot checks of procurement activities and report findings to senior management.
  • Provide regular training and guidance to staff on compliance-related issues and best practices.

Leadership:

  • Manage and mentor Procurement Officer, fostering a collaborative and performance-driven environment and meeting task deliverables.
  • Skill gaps within the team and recommend training opportunities to ensure continued professional development.

Reporting & Analysis:

  • Prepare and present regular reports on procurement activities, including cost analysis, vendor performance, and supply chain efficiency, to management frequently.
  • Analyse market trends and provide insights to support strategic decision-making.
  • Develop and maintain a comprehensive database of suppliers, contracts, and procurement activities.
