The primary purpose of this position is to ensure the accurate and efficient management of financial operations within the organization. This includes compiling and maintaining ledgers for financial reporting, overseeing budgeting and forecasting to optimize resource allocation, and preparing and processing payment vouchers to document financial transactions accurately. The role involves verifying and reconciling bank accounts, managing withholding tax submissions, and assisting with expense reconciliations to ensure compliance with financial regulations and standards.

Key Responsibilities:

Ledger Compilation and Financial Reporting:

  • Compile ledgers for financial reporting to monitor transactions and expenses.
  • Oversee budgeting and forecasting for projects to optimize resource allocation and plan future expenditures.

Payment Vouchers and Tax Compliance:

  • Prepare various payment vouchers (bank, receipt, cash payment, and cash receipt) to ensure accurate documentation of financial transactions.
  • Confirm filer status and verify compliance with government-approved tax rates before processing payments.

Bank Account Verification and Reconciliation:

  • Verify bank accounts for payment processing to minimize errors and discrepancies.
  • Perform monthly reconciliations for projects to ensure alignment between financial records and bank statements.

Withholding Tax and Expense Reconciliation:

  • Assist with the submission of monthly withholding tax by verifying NTN, address, and beneficiary details to ensure adherence to tax regulations.
  • Reconcile and assist in the deposition of tax deductions with project expenses for accurate financial reporting.

Financial Reports and Transaction Monitoring:

  • Compile monthly financial reports to track project expenses.
  • Upload transactions to the bank portal for projects and monitor the portal for payment status updates.

Documentation and Correspondence:

  • Maintain transaction records in Excel, detailing date, beneficiary name, account number, amount, bank name, and branch code for transparency and record-keeping.
  • Manage bank correspondence, including account openings for project-related accounts, to ensure smooth financial operations.

Invoicing and Compliance Coordination:

  • Assist with invoicing for projects and liaise with the compliance focal person regarding project-related compliance matters.

Salary Processing and EOBI Payments:

  • Process salaries and prepare bank sheets for project payments, ensuring timely and accurate disbursements.
  • Disburse EOBI payments to meet regulatory requirements.

Fund Monitoring and Coordination:

  • Monitor project fund availability to ensure adequate resources for operations.
  • Coordinate with relevant focal persons at the Head Office for payment-related queries and financial coordination.

Financial Record Management:

  • Scan financial records for digital documentation and maintain organized filing systems for easy retrieval for audit purposes.

Other Duties:

  • Perform any additional tasks as assigned by the supervisor.
