This position will manage key operational processes, including fleet management, health and safety (H&S) compliance, engineer qualification tracking, and maintaining project records. The successful candidate will play a vital role in ensuring operational efficiency and regulatory compliance across the organization.

Key Responsibilities:

1)      Fleet Management:

  • Coordinate and maintain the company’s fleet of vehicles, including scheduling routine maintenance, inspections, and servicing.
  • Track vehicle registrations, insurance renewals, and MOTs to ensure compliance with legal requirements.
  • Maintain accurate records of fuel usage, mileage logs, and fleet expenses.
  • Manage and resolve any issues related to fleet damage, repairs, or accidents.

2)      Health and Safety (H&S):

  • Monitor and update H&S policies, ensuring alignment with legal regulations and company standards.
  • Track employee compliance with mandatory H&S training and certifications.
  • Organize H&S audits, inspections, and risk assessments, addressing any areas for improvement.
  • Maintain records of incidents and support the implementation of corrective actions.

3)      Engineer Qualification Tracking:

  • Maintain a centralized database of all engineer qualifications, licenses, and certifications.
  • Track expiry dates and proactively schedule renewals for qualifications (e.g., F-Gas, CSCS cards).
  • Liaise with training providers to organize and book required courses for engineers.
  • Generate regular reports on engineer qualifications for management review.

4)      Company Records and Administration:

  • Ensure all company records are up-to-date and stored securely, including HR documents, training records, and compliance files.
  • Assist in preparing reports, documents, and presentations as needed.
  • Support the onboarding of new employees by managing qualification checks and compliance training.
  • Respond to inquiries and provide administrative support to various departments as required.
