Job Title: Admin & IT Assistant
Duty Station: Islamabad
Reporting to: Operation Manager
Research and Development Solutions (RADS) is a Pakistan-based M&E, Research and Technical Assistance/Consultancy organization. Our team expertise includes public health specialists, social scientists, Infectious Disease and MNCH-FP researchers, epidemiologists, statisticians, economists, advocacy and policy experts, and survey management. Since 2010, RADS has worked in 120+ districts of Pakistan with national and international donors, governments, and civil society partners.
Key Responsibilities: Administration:
1. Support the operational support team in day-to-day activities.
2. Oversee maintenance and cleanliness of office building.
3. Maintains filing systems as assigned.
4. Respond to and resolve administrative inquiries and questions.
5. Coordinates and schedules travel, meetings, and appointments for managers or supervisors as directed by the line manager.
6. Update monthly vehicle fuel and stock consumption reports.
7. Maintains a system for recording expenses and the use of petty cash.
8. Support with handling office tasks, such as filing, generating reports and presentations, setting up for meetings, and reordering supplies.
9. Support with travel arrangements, such as booking flights, and cars, and making hotel and restaurant reservations.
10. Maintain logbooks of vehicles and vehicle maintenance and repair records.
11. Ensure proper filing of all data and information under the supervision of the Sr. Admin officer.
12. Fixed assets Tracking & tagging.
13. Received the inventory items and physically count them as per supervisor instructions.
Procurement
14. Keep a regular check of the stocks of materials.
15. Ensure that stock-related data is computerized regularly, in addition to the maintenance of the physical stock register.
16. Support in the collection of quotations from the market.
17. Receiving material/equipment and assisting in making GRN.
18. Assist the procurement officer with the tagging of fixed assets.
IT
19. Provide technical assistance to staff on hardware and software issues.
20. Install, configure, and troubleshoot hardware and software.
21. Monitor and maintain computer systems and networks.
22. Set up accounts and user profiles.
23. Provide system administration and maintenance.
24. Respond to and diagnose technical hardware and software issues. (Access control & biometric)
25. Maintain accurate and updated IT equipment inventory and maintain documentation of technical processes.
26. Follow up with users to ensure their technical issues have been resolved.
Requirement
Qualification:
- BBA/BCS/ bachelor’s degree in a related field with 2 years of experience working in administration. Skill Set:
- Excellent and engaging communication (oral and written) and interpersonal skills.
- Knowledge of hardware and software installation, troubleshooting, and maintenance.
- Able to prioritize tasks and manage multiple projects simultaneously.
