Prima Systems is seeking a highly experienced and certified Program Manager to oversee administrative tasks and project management within our Aesthetic Medicine department. The ideal candidate will possess exceptional organizational skills, a high level of administrative capabilities, and the ability to create and manage documents, processes, workflows, and projects. This role will enable the Director of Aesthetic Medicine to focus on revenue growth, while the Program Manager ensures operational efficiency.

Work Schedule: Monday – Friday, 8:00 AM – 5:00 PM (EST)

Key Responsibilities:

  •  Oversee administrative and project management tasks for the Aesthetic Medicine department, ensuring that projects stay on track and meet deadlines.
  •  Develop and maintain project documentation, including charters, schedules, processes, and workflows.
  •  Utilize Smartsheets, Excel, Power BI, and other Microsoft products for tracking, reporting, and analytics.
  •  Provide administrative oversight and support to streamline operations and improve departmental efficiency.
  •  Communicate effectively with cross-functional teams and manage up to hold individuals accountable for project deliverables.
  •  Facilitate regular project meetings, status updates, and follow-ups to ensure transparency and progress.
  •  Collaborate with the Director of Aesthetic Medicine to identify and address administrative needs.

Qualifications:

  •  Certified Project Manager (PMP or equivalent certification required).
  •  Extensive experience in project management, with a strong administrative background.
  •  Proficiency with Smartsheets, Excel, Power BI, and Microsoft Office products.
  •  Excellent written and verbal communication skills, with the ability to manage cross-functional relationships and communicate project needs effectively.
  •  Strong organizational skills and attention to detail.
  •  Ability to work independently and take initiative, with a results-driven approach.

Preferred Skills:

  •  Experience creating Power BI dashboards and managing data analytics (a plus, but not required).
  •  Courageous leadership, with the ability to manage up and hold others accountable professionally.
