In this role, the Insurance Coordinator maintains a comprehensive master register of all insurance policies across the group, including coverage details, insured assets, premium values, and renewal dates. They track policy expirations, coordinate timely renewals, and prepare thorough quotation comparisons for management review. Additionally, the coordinator ensures smooth internal communication to gather required approvals, coordinates procurement processes like purchase requisitions and premium payments, and manages document issuance and filing. The position requires preparing periodic insurance status reports to support decision-making and audit compliance. Adeptness in Microsoft Excel, claims management systems, and risk assessment techniques underpins success in this dynamic and detail-oriented role.
Responsibilities

  • Maintain and regularly update a master register of all company insurance policies, detailing policy types, coverage, insured assets, periods, premium values, renewal dates, insurers, and brokers.
  • Monitor policy expiry dates to ensure timely renewals and continuous insurance coverage.
  • Liaise with insurance brokers and insurers to obtain quotations, renewal terms, and supporting documentation.
  • Prepare detailed quotation comparison summaries and analysis for management consideration.
  • Coordinate with internal teams to gather information and documentation necessary for insurance placements and renewals.
  • Follow up to secure management approvals aligned with the companys approval matrices and procedures.
  • Manage procurement processes including raising purchase requisitions and purchase orders related to insurance premiums.
  • Track and ensure timely payment of insurance premiums in collaboration with finance teams.
  • Coordinate issuance of policies, endorsements, certificates, and related documents by brokers and insurers, ensuring accuracy and timeliness.
  • Organize and maintain electronic filing systems for all insurance documentation.
  • Prepare and deliver regular insurance status reports, renewal trackers, and executive summaries for the Commercial Director and management.
  • Assist with insurance-related audit processes by providing required documentation and records.
  • Ensure compliance with internal company procedures, documentation standards, and external regulatory requirements.
