We are seeking a highly proactive and detail-oriented Office Coordinator to support our executive team and oversee daily administrative operations. This role blends traditional office coordination with finance-related responsibilities such as billing and invoicing, making a background in finance essential. The ideal candidate will demonstrate excellent organizational skills, strong communication abilities, and the capacity to work independently while managing multiple priorities efficiently.

Key Responsibilities

Follow-Up & Task Management: Track open tasks, deadlines, and communications across various departments to ensure timely follow-up and completion. This is a critical aspect of the role to maintain smooth operations.

Meeting & Calendar Coordination: Organize and manage internal and external meetings, considering different time zones to accommodate all participants.

Communication Management: Professionally draft and respond to emails, liaise with clients and vendors, and handle executive correspondence with discretion and clarity.

Office Administration: Maintain well-organized records and documentation to support efficient internal workflows and operations.

Billing & Invoicing: Prepare and dispatch invoices, manage billing cycles, and collaborate closely with the finance team to reconcile accounts and ensure accuracy.

Coordination & Workflow Oversight: Act as a liaison between departments to facilitate seamless project execution and timely delivery of tasks.

Meeting Support: Take shorthand notes during meetings, prepare agendas, and follow up on action items to promote accountability and progress.

Required Qualifications

Education: Bachelor’s degree in Business Administration, Finance, Accounting, or a related discipline.

Experience: 2 to 3 years in office coordination or executive support roles, preferably with exposure to finance-related functions.

Skills:
- Strong follow-up skills to consistently track and close open items and deadlines.
- Proficiency in Microsoft Office (Excel and Word), Google Workspace, and project management tools.
- Working knowledge of billing, invoicing, and financial coordination processes.
- Excellent verbal and written communication skills in English.
- Shorthand skills for effective note-taking and meeting documentation.
- Strong time management and multitasking abilities.
- Highly organized, detail-oriented, and proactive with a problem-solving mindset.
- Tech-savvy and adaptable to new tools and platforms.
- Comfortable working US business hours (Afternoon/Night Shift).

Preferred Qualifications and Benefits

The position offers a competitive salary range of Rs40,000 to Rs60,000 per month. Working hours are from 1:00 PM to 9:00 PM, and the role is based in Bahria Phase 7 with in-person attendance required.
