The Executive Assistant to the CEO will play a pivotal role in enhancing the CEO’s effectiveness by providing high-level administrative support. This includes managing schedules, handling confidential matters, coordinating meetings and events, and serving as the point of contact for internal and external stakeholders. The ideal candidate is proactive, adaptable, and able to thrive in a fast-paced, dynamic environment.

Key Responsibilities

  • Manage the CEO’s calendar, schedule appointments, and organize meetings and events, ensuring efficient time management and prioritization.
  • Screen and respond to emails, calls, and inquiries on behalf of the CEO, handling confidential and sensitive information with discretion.
  • Prepare documents, reports, and presentations, often with tight deadlines, ensuring accuracy and high quality.
  • Coordinate travel arrangements, including flights, accommodations, and itineraries, and manage related expenses.
  • Act as a liaison between the CEO and various departments, fostering effective communication and alignment.
  • Assist with special projects and initiatives as needed to support the CEO’s strategic goals.
  • Maintain office systems, including data management and filing, to ensure smooth operations.

Qualifications

  • Bachelor’s degree in Business Administration, Communications, or a related field (preferred).
  • Proven experience (5+ years) as an Executive Assistant or similar role, supporting senior executives.
  • Strong organizational skills with the ability to multitask and prioritize effectively.
  • Excellent verbal and written communication skills, with a high level of professionalism.
  • Proficiency in Microsoft Office Suite, Google Workspace etc
  • Ability to handle confidential information with discretion, integrity, and a high level of emotional intelligence.
  • Exceptional attention to detail and a proactive approach to problem-solving.
