Key Accountabilities for Finance: 

  • Manage the operational activities at the project office level and provide necessary technical support, and advice and assist in decision-making for the project/provincial coordinator for effective and smooth operations of the Muslim Aid Pakistan Project Office and to ensure that the MAP policies and procedures are implemented in a standardized manner.
  • Specifically, to ensure that all payments being processed from the project office are as per MAP policies and procedures.
  • He/she is responsible for supporting the district team a high caliber and employee-focused advisory and administrative support in all operational areas. 
  • Review and processing of project payments and advances.
  • Assist project/provincial Coordinator to ensure all internal controls are in place and are applied in a consistent manner for the management of finances.

Key Accountabilities for HR:

  • Support the provincial coordinator and country office HR team in the recruitment & selection process at the field office level.
  • Ensure that newly hired staff at the field office are provided with all the required support/facilitation and induction from all concerned departments and keep their record updated for completion of personnel files.
  • Review and update HRIS and support in the preparation of monthly payroll.
  • Maintain the staff attendance, both hard and soft forms, and ensure leaves are properly reflected on the time sheets, and timesheets are duly signed by the employee and their supervisor.
  • Maintain the leave tracker as per the leave structure of MAP and tracker up to date at all times.
  • Maintain staff health and life insurance and share timely addition and deletion of staff with country office HR, manage IPD and OPD medical claims. 
  • Work in close coordination with line managers to ensure annual performance appraisals are conducted in line with the organization’s ‘PACE’ Framework and timeline.
  • Ensure that staff probation appraisals are conducted in line with the probation policy and procedures.
  • Support in proactively and effectively addressing staff disciplinaries and grievances ensuring that any high-risk issues are flagged with the HR Manager for appropriate action.

Key Accountabilities for Admin & Logistics:

  • Assist country office admin team in overall admin and logistics-related arrangements at the field level and maintain correspondence properly.
  • Ensure rental payments of field office/warehouse are timely paid as per lease agreement and prepare addendum as per need.
  • Clearance of all utility expenses and maintain the record. By the end of the month or at the time of clearance of expenses, details will be submitted to the finance department – Islamabad. Proper submission the copy of all administrative expenses and utility bills at the Country Office Islamabad
  • Responsible for verification of fixed asset register/Project inventory as per MAP policies and procedures at field office level.
  • Control correspondences, review, and address supply requisitions generated by project staff in coordination with the country office Admin & Procurement team.
  • Timely submission and provision of requisition generated from project staff to the admin team at the country office.
  • Ensure record-keeping at the field level for all the administrative correspondence, processes, and inventory
  • Facilitate the project team in the procurement of goods and services for the project implementation in coordination and support of the admin department at the country office.
  • Identify local potential vendors and maintain a database for smooth operations.
  • Manage vehicle maintenance and allocation of vehicles at field level with proper log filing and monthly fuel efficiency report to CO.
