Manager Procurement

MedAsk (Pvt.) Ltd. is seeking a skilled and experienced Manager Procurement to lead and enhance the procurement functions critical to the company's supply chain operations. The successful candidate will oversee a team of 8 persons and work closely with senior management to develop and implement strategic sourcing initiatives, manage supplier relationships, and optimize procurement processes to ensure consistent supply and cost efficiencies. This position demands a proactive leader with strong negotiation capabilities, analytical skills, and a deep understanding of supply chain coordination and purchasing best practices. The Manager Procurement will be responsible for maintaining a reliable supplier base, managing purchase orders, and ensuring procurement activities align with company objectives. This role requires hands-on supervision of procurement staff, careful evaluation of supplier proposals, and maintaining confidentiality and accuracy in documentation and reporting. The candidate must demonstrate the ability to adapt to various client needs while handling pressure and meeting tight deadlines effectively.
Responsibilities
Assist senior management and the director of procurement in developing and implementing effective procurement strategies that align with company goals and stock maintenance requirements.

Identify and establish partnerships with profitable suppliers to enhance product availability and business growth.

Prepare and finalize purchase orders ensuring all documentation is complete and approvals obtained before forwarding to vendors.

Maintain comprehensive records of all approved suppliers and conduct periodic evaluations of vendor performance focusing on product quality and adherence to agreed margins and discounts.

Monitor and anticipate market trends and potential supply shortages to proactively suggest alternative sources and products.

Evaluate supplier bids carefully from commercial and technical perspectives to make informed purchasing recommendations.

Identify low-margin items and report these findings to senior management to support strategic sourcing decisions.

Coordinate vendor selection for negotiation based on demand and consumption patterns and provide recommendations to senior management.

Ensure meticulous documentation and record-keeping for all procurement activities to support transparency and audit requirements.

Manage procurement of non-available and short supply items by maintaining communication with vendors to secure urgent medicine supplies.

Follow up promptly with suppliers for quotations, margins, and distribution details to maintain smooth procurement workflows.

Supervise the daily tasks performed by procurement data entry operators, ensuring accuracy and compliance with processes.

Analyze purchase orders received from operations branches, making necessary corrections related to rates, margins, and bonuses at the procurement level.

Collect and report daily and weekly purchase order statuses, proactively communicating any supply issues to senior management for timely resolution.

Review and report undelivered item reports and escalate non-delivery issues to the senior management team.

Monitor and report outlets that fail to send daily undelivered item reports to ensure accountability across the distribution network.

Undertake additional duties assigned by senior management, including analyzing slow-moving and inactive outlets, report generation, and correspondence management.

Uphold strict confidentiality regarding procurement data and proprietary information, ensuring all team members comply with non-disclosure agreements.
