Records Management:
- Develop and implement policies, procedures, and systems for records creation, maintenance, storage, and disposal.
- Organize and maintain physical and electronic records for easy access and retrieval.
- Monitor the lifecycle of records and ensure proper archiving or destruction as per policies.
Compliance and Security:
- Ensure adherence to legal, regulatory, and organizational standards for records management.
- Protect sensitive and confidential information, implementing security protocols where necessary.
- Conduct regular audits to ensure compliance and accuracy.
Digital Transformation:
- Oversee the transition of paper records to digital formats.
- Work with IT teams to manage document management systems (DMS) or enterprise content management (ECM) platforms.
- Train staff on the use of records management software and systems.
Collaboration:
- Collaborate with department heads to identify recordkeeping needs and solutions.
- Provide guidance and training to staff on proper recordkeeping practices.
- Liaise with external stakeholders, such as auditors or legal teams, to provide necessary documentation.
Leadership and Strategy:
- Supervise and mentor records management staff, if applicable.
- Develop long-term strategies for efficient and cost-effective records management.
- Stay updated on industry trends and technological advancements.
Reporting and Documentation:
- Prepare reports on records management activities, compliance, and improvements.
- Maintain an inventory of records and track retention schedules.
