The Collection Officer is responsible for monitoring customer accounts, following up on outstanding payments, and ensuring timely collection of dues to maintain the company’s cash flow and reduce the risk of bad debts. This role requires strong communication, negotiation, and problem-solving skills to handle clients effectively.
Key Responsibilities:
- Follow up with clients regarding outstanding invoices and overdue payments via phone, email, and official letters.
- Maintain accurate records of all collection activities and update the system accordingly.
- Negotiate payment terms and resolve disputes in a professional manner to achieve successful recovery.
- Coordinate with the finance and sales departments to ensure proper reconciliation of accounts.
- Prepare periodic reports on collection status, outstanding balances, and progress made.
- Escalate unresolved cases to the Collection Supervisor/Manager for further action when necessary.
- Ensure compliance with company policies, procedures, and legal regulations during the collection process.
Skills and Qualifications:
- Bachelor’s degree in Finance, Accounting, Business Administration, or a related field.
- Proven experience in collections, accounts receivable, or customer service (preferred).
- Strong communication and interpersonal skills.
- Ability to negotiate effectively and handle difficult conversations with clients.
- Good knowledge of Microsoft Office (Excel, Word, Outlook).
- Detail-oriented with strong organizational and time management skills.
- Ability to work under pressure and meet deadlines.
