Job Purpose

Maintain strong working relationships with P & C Coordinator and Project Manager as well as individual staff members and provide advisory services on day to day P&C operations. Under the overall umbrella of People & Culture department, the incumbent shall support the smooth field operations by working closely with P & C Coordinator, PM & CO & field based P & C teams in terms of talent acquisition, coordination, processing of field staff P & C related matters, meeting reporting deadlines, audit and compliance with standard policies and capacity building of field teams through regular field visits..

Technical Level:

  • In close coordination with programme team, ensure that the new projects budgets are reviewed and recruitment plan is developed in collaboration with relevant field P & C focal person.
  • Support field P & C team in collection of JRs & JDs for project based positions.
  • Ensure advertisement of approved positions through recruitment portal and timely initial screening and logging of completed applications/CVs.
  • Ensure timely preparation for recruitment affairs i.e. telephonic screening, scheduling interviews, calling candidates, sharing of structure interview questionnaire with the panelist, conducting tests and negotiate with recommended candidates etc.
  • Participate in interview panel as per need.
  • Maintain recruitment databases for each area/field in close coordination with field P & C team and its summaries reporting to the management.
  • Keep close eye on recruitment challenges (internal/external) being faced at field level and its reporting to P & C Coordinator/Manager for timely solutions.
  • Establish a coordination mechanism (meetings in person & remotely, filling reporting formats/stats etc), with field teams to ensure that they are meeting organizational priorities in a timely manner.
  • Serve as central point for coordination among the field & CO based teams in dealing with all people related matters.
  • Ensure the timely processing of offer letters, advances, clearances, contract extensions, closures and other field staff matters at priority level in FO.
  • Ensure the receipt of staff record and its scrutiny with standard checklist before handing over to systems & record management officer.
  • Ensure the timely receipt of complete payroll and its submission to C & B Officer by 15th of each months.
  • Ensure the receipt of IAMS stats & timesheet signed summaries by 5th of each month for all area/field offices.
  • Remind field teams about contract ending dates and further action on processing for extension/conclusion of the contract after having coordinated with programme.
  • Visit to field offices on regular basis to check their compliance with standard policies as well as build their capacity on technical grounds to meet the service delivery requirements.
  • Work closely with field teams in closing the gaps highlighted in compliance check.
  • Coordinate with field teams on project audits and facilitation to CO P & C team.
  • Participate in investigation/ disciplinary matters as & when needed.
  • Assist in policy/forms & format development as per need.
  • Take lead on designing and maintain P & C analytics and its reporting in the form of a dynamic dashboard.

 Operational Level:

  • Coordinate with internal (FO, AO People & Culture dept., finance, SC & S and programme) & external (EOBI, auditors and other NGOs etc.) stakeholders related to people & operations and other matters of mutual interest.
  • Ensure preparation & record management of people & operations related information so that may be accessed by relevant individuals as & when needed.
  • Preparation of daily, weekly, monthly and other progress reports for management’s info.
  • Ensure proper filling of forms & formats as per desired standard
  • Close coordination with line manager for effective implementation of policies/guidelines.

Organizational Level:

  • Support in compliance with IR’s policies & procedures in true spirit for effective delivery of services.
  • Understanding of IR values and their demonstration in real time.
  • Abide by the IR zero tolerance policy towards bribery & corruption as well as sensitize others on coping mechanism so that they can raise voice as & when feel inappropriate.
  • Thorough knowledge of IR strategic priorities & the way you can contribute in its achievement.
  • Support in identification & documentation of organizational successes for show casing IR work

To cater to the higher living cost, IR Pakistan is transferring the exchange gain (PKR-GBP) on salary to staff at a prevailing conversion rate till further notice. Salaries are paid in local currency.
