The unit requires temporary HR support during the absence of a team member on leave to ensure continuity of HR operations and timely support to personnel management processes.

Purpose of Assignment

Under the supervision of the HR Specialist, the incumbent will provide administrative and operational HR support, particularly in relation to LICA recruitment processes and contract management.

Functional Responsibilities

The incumbent will support the HR unit in the following areas:

Recruitment Support

  1. Support end-to-end recruitment processes for LICA/UNOPS personnel.
  2. Draft vacancy announcements and assist with longlisting, interview scheduling, and candidate communication.
  3. Maintain recruitment trackers and ensure completeness of recruitment documentation.
  4. Support onboarding and related administrative processes.

Contract Management

  1. Monitor contract expiry dates and maintain contract tracking tools.
  2. Prepare contract extensions, amendments, and related HR documentation.
  3. Follow up with supervisors on timely submission of contract-related requests.
  4. Maintain personnel files and HR records in line with organizational requirements.

General HR Support

  1. Maintain HR database, trackers, and filing systems.
  2. Provide administrative support to daily HR operations.
  3. Prepare routine HR correspondence and reports as required.
  4. Ensure confidentiality of HR information and documentation.

Education

  • Secondary education required.
  • A university degree in Human Resources, Business Administration, Public Administration, or related field is desirable.

Experience

  • Minimum 2 years of relevant experience in HR support.
  • Experience in recruitment and personnel administration is required.

Skills

  • Proficiency in MS Office applications, particularly MS Word and MS Excel.
  • Good coordination skills.
  • Attention to detail and ability to manage multiple tasks.
  • Good communication and interpersonal skills.
