Key Responsibilities:

  • Greet visitors, clients, and staff in a professional and friendly manner.
  • Answer and direct incoming phone calls to appropriate departments or personnel.
  • Manage appointment scheduling, coordinate meeting rooms and resources.
  • Handle incoming and outgoing mail and packages.
  • Maintain office supplies and inventory, placing orders as necessary.
  • Provide administrative support to different departments (e.g., filing, data entry, preparing documents).
  • Ensure the reception area is neat, organized, and welcoming at all times.
  • Assist with travel arrangements and accommodation bookings for staff or clients.
  • Respond to customer inquiries, offering information or directing them to the correct personnel.
  • Manage office security by ensuring visitors sign in and follow safety protocols.
  • Perform any other duties as required by the management team.

Qualifications:

  • High school diploma or equivalent (Associate's or Bachelor’s degree preferred).
  • Proven experience as a receptionist or in a customer service role.
  • Strong communication and interpersonal skills.
  • Proficiency with office software (e.g., Microsoft Office Suite, Google Workspace).
  • Excellent organizational skills and attention to detail.
  • Ability to multitask and handle a fast-paced work environment.
  • Professional phone etiquette and appearance.
