The Executive Assistant to the CEO plays a vital role in ensuring the efficient management of the CEO's daily schedule and operations. This position requires a highly organized, detail-oriented professional who can expertly handle calendar management, travel arrangements, and meeting coordination while maintaining the highest level of confidentiality and discretion. The Executive Assistant facilitates communication, prepares important documents, and supports project coordination efforts to enhance the CEOs productivity and effectiveness. In this role, you will manage a team of two individuals, overseeing their activities to ensure seamless support for the CEO and the office. Strong leadership and organizational skills are critical to successfully coordinating schedules, prioritizing executive requests, and managing multiple tasks simultaneously. The ideal candidate brings at least three years of relevant experience and demonstrates proficiency with tools such as Google Calendar and Microsoft Outlook to optimize calendar event scheduling and communication management.
Responsibilities

  • Manage and maintain the CEO's calendar, scheduling appointments, meetings, and events with careful attention to priorities and deadlines.
  • Coordinate complex travel arrangements, including flights, accommodations, and itineraries, ensuring cost-effectiveness and time efficiency.
  • Facilitate meeting logistics such as preparing agendas, organizing venues, distributing materials before and after meetings, and taking detailed meeting notes where appropriate.
  • Handle confidential information with the utmost discretion, maintaining privacy and professionalism in all communications and document handling.
  • Prepare, review, and proofread various documents, reports, and presentations to support the CEO's engagements and communications.
  • Serve as a liaison between the CEO and internal or external stakeholders, managing communication flow to ensure prompt and effective responses.
  • Support project coordination efforts by tracking deadlines, coordinating resources, and following up on assigned action items to ensure timely completion.
  • Oversee and manage a team of two administrative staff, providing guidance, delegating tasks, and ensuring high-quality output.
  • Utilize calendar management tools including Google Calendar and Microsoft Outlook to schedule events, send reminders, and avoid scheduling conflicts.
  • Continuously identify opportunities to improve administrative and operational processes to enhance the efficiency of executive support.
