Office Management: Oversee the daily administrative activities of the factory office, ensuring a well-organized and professional work environment. Manage office supplies, equipment maintenance, and procurement as needed.
Vendor Management: Coordinate with vendors and suppliers for office supplies, Scrap, Maintenance services and procurement needs. Getting approval through proper channel and negotiate contracts to ensure favorable terms and cost-effectiveness.
Plant/ Office Keys: Maintain office keys in safe and secure place and ensure all keys are in safe custody and will be available as & when required.
Visitor and Guest Management:
Coordination in assisting visitors, guests, and clients in a courteous and professional manner, ensuring a positive first impression of the factory.
Administrative Support: Provide administrative support to various departments. Assist in preparing reports, presentations, and data analysis for Admin records as required.
Canteen Affairs:
Supervise Canteen and contractor affairs and ensure smooth operations and bill verifications as per SOPs
Security Affairs:
Maintain proper security checks and guards deployment and ensure security compliances.
General Admin Purchases:
Maintain Budget of Admin purchases as per approved limits for Janitorial, Kitchen & entertainment items and proper record keeping of the same.
Repair & Maint. of Factory Building:
Coordinate in assign task as & when required for Civil Work and give proper feedback on the same.
Staff Accommodations:
Ensure proper utilization of staff accommodations in factory area as per notified procedure & guidelines and keep residents records.
Office Pool Vehicles:
Ensure proper periodic maintenance of office vehicle and keep up to date records and submission of expenses to HOD with proper approval with Dept. head.
Bills & Payments:
Ensure verification of bills and timely submissions for approvals.
Documentation and Record Keeping:
Maintain and update records, documents, and files related to various administrative matters, including contracts, correspondence, and reports. Ensure proper filing and documentation procedures are followed for easy retrieval and compliance.
