The Stock and Admin Officer at Bajwa Ranch is responsible for efficiently managing stock and inventory while ensuring smooth office administration. In addition to stock management, the role involves maintaining detailed documentation and filing systems to support audit requirements and company compliance standards. The Stock and Admin Officer utilizes strong Microsoft Excel skills to prepare and analyze daily, weekly, and monthly stock reports, highlighting trends and discrepancies. This position supports internal teams with documentation and reporting and manages general office administrative tasks, including maintaining office supplies and coordinating with vendors. A bachelors degree in Commerce or Business Administration with at least three years of relevant experience is required. This position does not involve managing a team but demands excellent organizational, communication, and coordination skills to maintain accuracy and ensure smooth day-to-day operations.
Responsibilities

  • Maintain accurate records of all stock movements, including incoming and outgoing items, using both manual and electronic systems.
  • Monitor stock levels continuously, ensuring timely replenishment and preventing shortages or excess inventory.
  • Conduct regular physical stock counts and investigate any discrepancies to maintain inventory accuracy.
  • Prepare and maintain stock registers, bin cards, and comprehensive inventory reports to track material usage and availability.
  • Coordinate with procurement, warehouse, and site teams to organize stock movements and resolve inventory issues promptly.
  • Ensure proper storage conditions, precise labeling, and safe handling of all stock materials according to company standards.
  • Utilize advanced Microsoft Excel functions to maintain inventory records, develop tracking sheets, and generate accurate stock reports.
  • Analyze data related to stock usage patterns and inventory variances, providing actionable insights for efficient inventory management.
  • Maintain an organized and systematic filing system for purchase orders, delivery notes, invoices, and stock documents, ensuring easy access and compliance.
  • Support audit processes by providing accurate and comprehensive documentation and reports as requested.
  • Handle day-to-day office administrative duties such as managing office supplies, coordinating vendor communications, and assisting internal departments with documentation needs.
  • Ensure smooth and effective office operations by maintaining supplies availability and resolving administrative issues promptly.
  • Maintain compliance with company policies and procedures regarding inventory control and documentation standards.
  • Communicate effectively with all internal and external stakeholders to facilitate transparent stock management and administrative coordination.
