We are seeking a highly motivated and organised individual to join our team as the Executive Assistant to the CEO.

In this crucial role, you will be the CEO's right-hand person, providing exceptional administrative support and acting as a key point of contact. You will play a vital role in ensuring the CEO's efficiency and effectiveness, contributing directly to the success of the company.

Responsibilities:

⁠ ⁠Executive Support:

  • Proactively manage the CEO's calendar, scheduling appointments, meetings, and travel arrangements.
  • Anticipate needs and prepare comprehensive briefing materials for meetings and presentations.
  • Handle incoming phone calls, emails, and inquiries professionally and efficiently, prioritizing tasks and filtering sensitive information.
  • Draft correspondence and documents to a high standard, ensuring clarity, accuracy, and conciseness.
  • Maintain confidential information with discretion and integrity.

⁠ ⁠Office Management:

  • Oversee the smooth operation of the office, ensuring efficient administrative procedures.
  • Develop and implement Standard Operating Procedures (SOPs) for office functions and ensure adherence.
  • Monitor employee attendance and performance, providing support and addressing issues as needed.
  • Manage office supplies and equipment, ensuring timely maintenance and replenishment.

⁠ ⁠Project Coordination:

  • Break down complex tasks into manageable steps and assign them to relevant team members.
  • Track project progress, proactively identifying and resolving potential roadblocks.
  • Facilitate communication and collaboration within the team to ensure timely completion of assigned tasks.
  • Regularly update the CEO on project progress and key developments.

⁠ ⁠Communication and Coordination:

  • Serve as the central point of contact for staff and external stakeholders, building positive relationships and fostering smooth communication.
  • Manage the CEO's personal and professional schedules, coordinating appointments, travel arrangements, and social engagements.
  • Proactively anticipate the CEO's needs and provide solutions before problems arise.
  • Maintain a professional and positive demeanor at all times.

Skills and Qualifications:

  • ⁠ ⁠3+ years of experience as a Executive Assistant or similar administrative role.
  • ⁠ ⁠Proven ability to work independently and manage multiple tasks efficiently under pressure.
  • ⁠ ⁠Excellent organizational, time management, and prioritization skills.
  • ⁠ ⁠Strong interpersonal and communication skills, both written and verbal.
  • ⁠ ⁠Proficiency in all MS Office Suite applications and other relevant software programs.
  • ⁠ ⁠Discreet and trustworthy, with a high level of professionalism and integrity.
  • ⁠ ⁠Ability to work effectively as part of a team and independently.
  • ⁠ ⁠Fluent in written and spoken English.
  • ⁠ ⁠A positive and proactive attitude with a willingness to learn and grow.
