Candidates typically hold a bachelors degree in Business Administration, Library Science, or a related field and possess 3 to 5 years of relevant experience in document control or records management.
Responsibilities

  • Manage, organize, and control all hospital documents to ensure accuracy, completeness, and confidentiality.
  • Maintain document version control to track changes and updates effectively across all files.
  • Utilize Document Management Systems (DMS) such as SharePoint and Documentum to store, retrieve, and archive records.
  • Implement and uphold document control procedures and policies to maintain compliance with organizational standards and regulatory guidelines.
  • Coordinate document workflows with different hospital departments to ensure timely distribution and accessibility of documentation.
  • Perform data entry tasks accurately and maintain clear, logical file organization using methodologies like hierarchical, indexed, and direct file organization.
  • Monitor and audit document storage and retrieval processes to prevent loss or misplacement of critical information.
  • Support internal and external audits by providing necessary documentation and records promptly.
  • Maintain and update records management systems ensuring proper classification and storage of confidential information.
  • Ensure technical proficiency in Microsoft Office tools, especially Word and Excel, to prepare, format, and manage documentation efficiently.
  • Maintain clear and effective communication with stakeholders to resolve document discrepancies and ensure adherence to document control processes.
  • Assist in training new staff on document control procedures and the use of document management tools when required.
  • Continuously evaluate and improve document management practices to enhance operational efficiency within the hospital.
