The Project Manager Human Resource Information System will manage the end-to-end implementation of an HRIS across 11 countries, ensuring a phased, timely, and smooth deployment. Location of the role is any country where AKS operates: Kenya, Bangladesh, India, Pakistan, Tanzania, Uganda

Major Responsibilities:

Project Lifecycle Management:

  • Lead HRIS implementation through project initiation, planning, execution, monitoring, and closure.
  • Ensure project phases, including feasibility study, requirements analysis, design, build, testing, and implementation, are completed on time, within budget, and constraints.

Project Planning and RFP Development:

  • Define project scope, objectives, and deliverables with stakeholders, aligning with organizational goals.
  • Lead the RFP process for vendor and implementation partner selection.
  • Maintain the Project Work Plan, covering schedules, resource allocation, and tracking.

Vendor Management:

  • Serve as the primary contact for HRIS vendors, ensuring contract compliance and performance.
  • Facilitate vendor meetings to track progress, resolve issues, and align with project goals.

Stakeholder Mapping and Engagement:

  • Identify and engage project stakeholders for communication and alignment.
  • Provide updates, reports on progress, risks, decisions, and budget tracking.

Workshops, Business Requirements:

  • Lead workshops to gather and document requirements, 
  • Document business requirements and track system configuration progress.

Implementation Planning & Project Roadmap:

  • Develop country-specific phased implementation plans ensuring compliance with local regulations.
  • Manage the project roadmap, timelines, and deliverables, securing stakeholder reviews and approvals.

Data Migration and Integration:

  • Develop and track data migration plan for new HRIS in collaboration with the implementation partner, and other stakeholders
  • Ensure seamless integration with enterprise systems for smooth data flow.

System Design, Configuration and Testing:

  • Lead HRIS configuration, including workflows, application and data security framework, user roles, and reporting.
  • Develop and execute testing plans, coordinate for resolving issues before go-live.
  • Manage diverse teams, facilitate defining ‘AS IS’ and ‘TO BE’ processes, and align them with system functionality.
  • Identify gaps between system functionalities and business needs, creating workable solutions.
  • Facilitate system configuration, integration, reporting, and user acceptance testing.

Training and Change Management:

  • Manage global training programs to ensure HRIS proficiency across roles and regions.
  • Manage implementation of change management strategies for user adoption and ongoing support.

Rollout and Go-Live:

  • Coordinate phased go-live across countries, minimizing disruption.
  • Monitor post-rollout performance, coordinate for addressing issues promptly and providing documentation.
  • Post-Implementation Support:
  • Coordinate for establishing support structures (helpdesk, country teams) for system maintenance.
  • Conduct post-implementation reviews to assess success and adapt to evolving business needs.
  • Facilitate system error debugging, and development of user manuals and documentation.
  • Key Contact for HRIS Issues:
  • Act as the primary contact for HRIS concerns, ensuring communication and resolution with HR leads.

The requirements

  • Master’s degree in computer science, or information management. Certification in Project Management would be a plus.
  • Proven experience managing large-scale HRIS implementations across multiple countries.
  • Strong understanding of HR processes, data management, and HRIS functionality.
  • Strong analytical and problem-solving skills; can work under pressure to meet deadlines.
  • Excellent project management skills, with the ability to manage complex projects on time and within budget.
  • Strong communication and leadership skills, with the ability to influence and collaborate with stakeholders at all levels.
  • Experience working in a global, multicultural environment.
  • Ability to travel as required to support project needs.
