-Provide administrative/secretarial support for the department/division such as answering telephones, assisting visitors, and resolving and referring a range of administrative problems and inquiries.
-Monitor office supplies and research advantageous deals or suppliers
-Operate personal computer to compose and edit correspondence and memoranda from dictation, verbal direction, and from knowledge of established department/division policies; prepare, transcribe, compose, type, edit, and distribute agendas and minutes of meetings.
-Establish, maintain, and update files, databases, records, and other documents;
-Printing, maintenance, and other services.
-Train and lead lower graded staff, as and when required.
-Receive , reply and direct phone calls & messages to the concern employee.
-Assist in planning and preparation of meetings
-Managing company maintained vehicle's files.
-Filing of papers from filing basket in the respective files & folders.
-Provide high quality maintenance service of fixtures , fittings, office equipments etc.
-Generate monthly stationary requisition form.
-Create a summary of stationary requisition received from employees.
-Monthly canteen/stationary stuff purchase through driver.
-Monitoring security guards, riders , drivers.
-Ensure that all the utility bills (KESC , SSGC & PTCL) are paid on time before due date.
-Any additional responsibilities as assigned by the management.
-Maintaining office supplies, including data management and filing.
-Take notes or dictation at meetings or to provide general assistance during presentations.
-Attending phone calls, enquiries and requests, and handling them when appropriate.
-Meeting and greeting visitors at all levels of seniority.
Organizing & maintaining diaries and making appointments.
-Dealing with incoming email, post, often corresponding on behalf of lawyers.
-Reminder for cases under hearing dates, timings, pending.
-Producing documents, briefing papers, reports and presentations.
-Organizing cleanliness, schedule day offs for office employees according to instructions given by Management.
-Liaising with clients, suppliers and other staff.
-Welcomes visitors by greeting them, in person or on the telephone; answering or referring inquiries.
-Directs visitors by maintaining employee and department directories; giving instructions.
-Maintains security by following procedures. monitoring logbook; issuing visitor badges.
-Maintains telecommunication system by following manufacturer's instructions.
-Maintains safe and clean reception area by complying with procedures, rules, and regulations.
-Maintains continuity among work teams by documenting and communicating actions. irregularities, and continuing needs.
-Contributes to team effort by accomplishing related results as needed.
