Main Responsibilities: Office work
Prepare, process, reimburse Expense & Travel claims forms of Faculty & others staff members; Make arrangements for boarding & lodging, accommodation, local commute and transport facility; Make arrangements for new hiring’s settling down (workplace, Bank Account opening, other Digital accounts);Update faculty and staff profile on LUMS various websites and portals; Printing, Scanning and binding of departmental documents; Hiring labor for renovation of departmental infrastructure and transfer of furniture & Assets; Maintain office supplies i.e. stationary and IT items; Maintenance of Equipment & Assets (internal and external repair, following up at every stage, procurement of Asset parts and verification of repaired item); Coordinate with procurement for the quotations of different equipment/materials from the local and international market; Preparing, forwarding & keeping record of students’ academic forms & other official documents (graduate student’s Thesis committee form, supervisor change form); Coordinate with marketing team for media coverage of the events and collection of data after it; Responsible for repair and maintenance of furniture, doors, telephone sets and extensions, internet connections, floor tiles etc.
Liaison with other departments at LUMS
Verify departmental IT assets with IST; Collect, compile and share data with SSE Dean’s office for updating records; carefully handling and send documents to OSPR; Intimating Vigilance for the arrival of Department guests; Reservation of guests room in REDC; Coordinate with OSPR for reimbursement claim approval from grants; Coordinate with Finance department for disbursement of claim amount; Coordinate with procurement department for quotation and Purchase of different items;
Coordinate with IST department for installation of different software; Arranging Refreshments for department events from PDC/EDH.  
Assistance in all other departmental activities
Cleanliness & Maintenance of Department premises; Updating department's notice board, corridor posters, and LED advertisement; Greeting Department guests and facilitate them; Sending & receiving mails/shipments on the behalf of Department; Making arrangements for  Department’s co-curricular activities; Solving issues regarding electric supply, lights, cooling and heating system, doors and windows damage, floor tiles, lock & keys etc. Supporting staff members for final clearance
 
Organizing Events & Scheduling Meetings & Interviews
Organizing events like Conferences, seminars, workshops, sessions, Interviews & social events for the department; Scheduling Interviews, summarizing candidates resume & preparing candidates evaluation files; Reserving conference halls, classrooms, grounds, guest house, rooms for department events; Arranging souvenirs, visiting/guest cards, for invited guests at the events; Arranging meals and promotion items like flexes, standees, posters, session flyers, complete file/folder; Arranging transport and Air tickets for Invited guests pick up and drop off; Scheduling meetings and prepare its minutes.
Tracking Vulnerable Students
Tracking the vulnerable students through their CGPA, Levels, and academic records from Zambeel; Invite them to advisor-advisee meetings; Record their feedbacks.
