Responsible for monitoring material transported and delivered for timeliness and legality
Assist in loading/unloading, sorting, and stocking, and packaging merchandise and orders
Responsible for the review, verification, and reconciliation of shipping documents
Provide support in completing paperwork and documentation
Carry out clerical work, including typing, proofreading, and editing documents, correspondence, and reports for the logistics department or assigned
Support with developing and preparing complex databases, reports, and/or presentation material for the logistics unit
Responsible for preparing shipping documents such as Commercial Invoice, Packing Lists, and Shipyard Material Receivers, etc., for ongoing shipments and projects
Responsible for entering data into spreadsheets from multiple sources, as well as verifying input and calculations
Provide support in the maintenance of electronic filing system for administrative documentation that guarantees swift retrieval of requested documents.
Administrative Duties Ensure communication and compliance of systems developed in Administrative matters at District Level.Develop and oversee, systems of mail, filing security, transport pool and usage of equipment and supplies.Assist the District Program Officer in corresponding with various agencies and persons, by preparing draft letters and arranging for their dispatch.Assist with the internal correspondence such as office orders, minutes of meetings, memos etc.Operate office equipment such as computers, fax machines, typewriters, telephone exchange etc., efficiently.Log all incoming mail and be responsible for distribution and follow-up action on instructions received .Financial DutiesAccounting and financial reporting for management, including proper recording of all financial transactions, preparation of trial balance, cash and bank reconciliations together with monthly analysis, report of expenditures versus budget and cash flow projections.Maintain fixed asset register and inventories.Handle payroll accounts other than management.Maintain accounts of advances granted to employees etc.Maintain accounts of accruals and prepayments
