JOB DESCRIPTION
Réception
Answers incoming telephones and ensures connection with proper departments or takes messages and relays information
Performs national and international calls on request
Welcomes visitors and assures follow-up, as well as adapts appropriate behavior to the various interlocutors
Updates the internal phone lists regularly and keeps it updated all the time
Checks proper functioning of all lines, coordinate with IT when problems occurs
Information Management
Maintains incoming & outgoing correspondence log book
Update Correspondence in/ out in Team Space regularly
Sorts out private & professional mails for Assistant II who will then further distribute them
Replace Information Management Assistant
Distributes the mails from the Delegation
Secretarial Support
Prepares outgoing bordereaux.
Updates the ICRC Internal Extension & ICRC Phone lists.
Prepare monthly bills for newspapers/magazines for FIN.
Maintain the stock of stationary and prepares SR when needed.
Facilitate TCS booking for the delegation, arrange dispatch and prepare monthly bill for FIN.
Facilitate DHL booking for the delegation for international mails and pouches.
Supports departments with various secretarial tasks when requested like photocopying, scanning, send faxes, binding, labels formatting and printing etc.
Support the staff members for formatting Letters, MOU and Contracts
Supports the team members with various tasks as per need.
Make FTN for Management.
Follow up Management meetings/Reception and Farewell.
Contributes to better the working environment of the office and delegation as a whole.
