5. JOB SUMMARY:




PDO will be responsible for:
●        Data Management and reporting:  NTP formats such as ENRS and other registers, OpenMRS, and overseeing the completion of patient files
●        Site Financial Record & Patient Social Support
●        Clinical Flow Record




6. TASKS & ACCOUNTABILITIES:

 






















Responsible for data management of all DR-TB patients for PMDT program


Data Management and Reporting

The PDA is responsible for overall data management (collection, quality, reporting formats) at the site, and reporting to the PMDT Team (Regional and National) and to the NTP (Keeping the Regional Coordinator in loop).
●        Identifying gaps in patient care and notifying the Clinical Coordinator and QA team as part of Data audits
 
New Registration
●        Ensure compliance to NTP policy of filling DR-TB forms.
●        To check the Entries of patient files (DR-TB 01) on a daily basis and inform MDR Coordinator.
●        Ensure patient has been assigned an ENRS number and all his/her particulars are updated in a timely manner. Any missing Data should be requested and completed.
●        Generate MR number on site and ensure MR number is used for lab sample transfers to Indus lab.
ENRS maintenance
●        Patient entry on online ENRS completed in consistency with the DR-TB 01 form.
●        ENRS data to be shared with Regional Coordinators on monthly basis before reporting deadline to NTP.
●        Compile data on each day end collected by the MDR physician/MO. Week to week data should be submitted timely.
●        Ensure the maintenance of Pharmacovigilance, Mono & Poly sheet. Pharmacovigilance sheet to be updated by Pharmacist
●        Timely report the patient treatment outcome (Transfer in and out patients to be followed up regularly)
NTP reporting
●        Prepare review monthly, quarterly and annual Data for submission to NTP and strictly follow the timeline for reporting
●        Prepare TB-03, TB-07, TB-08 & TB-09 Quarterly and report to Regional Coordinator
Clinic Data Records
●        Responsible for roll out of OpenMRS on site - ensuring that all staff members understand  and are facilitated in the use of the system and that all data entry on OpenMRS is complete
●        Create presentations for monthly progress review meetings with the Regional Coordinator / National Team.
●        Responsible for completion of Patient files and file checklist
●        Maintain Social Support record on a daily basis and share with Social Support Officer when asked.
●        Share site data with PMDT team when requested
●        Update the DOTS and PMDT presentation on a quarterly basis



Administrative support to the clinic
●        Check the Treatment Coordinators per diems and send to Regional Coordinator
●        Maintain petty cash record
●        Maintain asset register
●        Maintain attendance and leave record of responsible site
●        Coordinate with national team to ensure regular preventive maintenance and repairs of monitoring equipment at the clinic Ensure all patient monitoring equipment should be functional
●        Apply leave application as per Leave protocols

Participation in Clinic Team / Larger PMDT Team
●        Attend quarterly PTP meeting for DOTS program
●        Ensure that site staff are well trained and understand all data collection tools in use and that these are refreshed and reiterated to new and existing staff on a regular basis through trainings and sessions to increase quality of data being collected
●        Prepare reports for external stakeholders such as the Provincial TB Programs, donors, etc.
●        Participate in capacity building of other PDAs at other PMDT sites as required and conduct PMDT site visits as and when required
●        Ensure patient confidentiality and strict data security protocols are in place
●        Assignments / tasks assigned by MDR Coordinator/National Team
●        Comply by leave protocols as per program specification
