Operations:
· Formulation and maintenance of Foundation’s HR policies in accordance with best practices.
· Monitor, review and improve internal HR systems and process.
· Manage employees request regarding HR issues, rules and regulations.
· Maintain and update internal database with employee’s record, e.g. leaves, attendance, benefits
· Create regular reports and presentations on HR metrics (e.g. turnover ratio, absenteeism ratio)
· Design and conduct internal periodic survey to measure job satisfaction and suggest improvements where required.
· Daily attendance control through ACS system and report to superior official
Recruitment:
§ Facilitate in recruitment & selection process (checking application forms, shortlisting, scheduling job interviews and manage interview process).
§ Provide services to new joiners (Joining reports, payroll update, work station, employee smart card, onboarding and new joiner kit by liaising with relevant department
§ Prepare HR documentations, e.g. employment contracts, confirmation, extension letter and new hire guides.
§ Post job ads on external websites.
§ Organize and maintain employee’s personnel records.
§ Process documentation and prepare reports relating to personnel activities, (staffing, recruitment, training, grievances, performance evaluations, etc)
Payroll:
§ Payroll and personal file management.
§ Assist payroll section by providing relevant employee information (e.g. leaves, absence, sick and work schedules).
§ Arrange travel accommodation and process expense forms.
§ Manage Advance, Loans, Gratuity, and Provident Fund.
§ Reviewing resumes and applications.
§ Conducting interviews and providing the necessary inputs during the hiring process.
§ Working with recruitment agencies to source for candidates for specific job positions.
§ Maintaining HR records, such as those related to compensation, health and medical insurance.
§ Communicating and explaining the organization's HR policies to the employees.
§ Preparing and submitting all relevant HR letters/documents/certificates as per the requirement of employees in consultation with the management.
§ Recording, maintaining, and monitoring attendance to ensure employee punctuality.
§ Preparing letters such as offer and confirmation.
§ Preparation of salary statements.
§ Coordination with all site area team.
§ Responsible of monthly Payroll process and disbursement of salaries
§ Recruitment & positioning of individuals
§ Team Leading
§ Responsible for ensuring that all employee information is captured, updated and maintained in the various employee management systems and payroll
§ Responsible for managing employee leave requirements process.
§ Provide support and backup to other administrative functions as required.
§ Human Resources experience particularly in the area of rostering is mandatory.
§ Employees Relations and administration of compensation & benefits (WPPF, Annual Bonus, Gratuity, etc.)
§ Maintain record-keeping systems for recording and monitoring service processes and provide regular summary reports to Operational Staff and Managers to ensure that relevant updates and reviews
§ Maintaining good relations with Government Bodies (EOBI, ESSI, WWB, Labor Depart/Court)
§ Performance Appraisal Management
§ Power User of TIMETRAX (efrotech) HR Software.
§ Individuals’ Trainings (Orientation, GMPs, Food safety, Basic Computer courses, ERP, TIMETRAX.)
§ Responsible of monthly Payroll process of branch and disbursement of salaries
§ Relationships with customers.
§ Provide internal and external auditing services for businesses and individuals.
§ Prepares vouchers related to various revenues and expenses
§ Receives, issue receipts and deposits all Cheques collected from customers.
§ Responsible of daily cash management & accounts maintaining.
§ Responsible of stock in/out at branch as per system record.
§ Best relationships with customers and verification staff.
§ Record update of sales and account of customers.
§ Responsible of monthly Payroll process of school staff and disbursement of salaries of admin and teaching staff.
§ Maintain attendance record of each employee.
§ Relationship with student’s parents.
§ Produce a range of documents including letters/emails and presentations to a good standard by the required deadline
