Managing HR activities for the clients in Rawalpindi and Islamabad region
1. Manage DIRECTOR’s electronic diary, assessing priority of appointments and reallocation as necessary;
2. Ensuring the schedule is up to date and accurate;
3. Reading and analysing incoming correspondence including memos, submissions, reports, posts and emails to determine their significance and plan their distribution;
4. Process DIRECTOR’s correspondence, ensuring that incoming correspondence is dealt with by the DIRECTOR/or on behalf of the DIRECTOR;
5. Drafting responses to correspondence containing routine inquiries;
6. Responses are processed in an accurate, timely, discreet manner and in line with organizational standards;
7. Required information is provided promptly and in a professional format in accordance with PA guidelines;
8. Issues are referred to the correct person for appropriate action;
9. Assist DIRECTOR in researching and following up with action on matters which fall within the DIRECTOR’s responsibility – chasing responses, triggering follow-up action;
10. Organize appointments, meetings and conferences which may include collating meeting papers, coordinating venues and arranging travel itineraries;
11. Meeting needs are anticipated and provided;
12. Produce documents, briefing papers, reports and presentations for the DIRECTOR;
13. Preparing agendas and making arrangements for committee, board, and other meetings;
14. Host events are well prepared and positive feedback is received;
15. Agendas and Minutes of the Meeting are produced accurately;
16. Documents are prepared to a high standard every time and completed in accordance with agreed timelines;
17. Manage DIRECTOR’s travel arrangements (including visas/accommodation);
18. Maintain records of DIRECTOR’s contacts;
19. Screen calls, enquiries and requests, and deal with them;
20. The DIRECTOR’s needs are anticipated and met in a positive, pleasant and discreet manner;
21. Perform any other assigned by Director
