Job Purpose:

  • The primary responsibility of the Office Associate is to provide comprehensive administrative and clerical support to ensure the smooth and efficient operation of the office. This role is pivotal in facilitating communication, coordinating office activities, and assisting with various tasks to support the organization's daily functions. The Office Associate serves as a key point of contact for internal and external stakeholders, managing office resources, maintaining records, and supporting the team in achieving organizational goals. This position requires excellent organizational skills, attention to detail, and the ability to multitask in a dynamic work environment.

 Key Result Areas 

Technical Level

  • Proficiency in managing office administration tasks and procedures.
  • Expertise in handling, organizing, and maintaining electronic and physical records.
  • Strong written and verbal communication skills for effective correspondence and coordination.
  • Serve Tea and Coffee to Staff and office Visitor
  • Clean office kitchen on daily basis
  • Responsible for disposal of trash, waste, and other disposable material
  • Monitoring the use of equipment and supplies within the office.
  • Dealing with queries or requests from the visitors and employees.
  • Coordinating the maintenance and repair of office equipment.
  • Damp dust furniture, light fixtures, window and bathrooms daily,
  • Wash windows as scheduled
  • Use safety precautions in all housekeeping services
  • The person must have a neat and clean personality
  • Also be able to move outside office for any kind of task directed to him.
  • Job requires activeness, attentiveness and a responsible attitude.
  • Handling electronic files and papers
  • Assists in menial office tasks required by the office staff
  • Maintains the cleanliness of the office premises and kitchen.
  • Helping the cook prepare and cook meals following recipe instructions, measuring and assembling components, and cooking techniques washing and peeling fruits and vegetables, as well as chopping, dicing, and slicing components

Operational Level

  • Maintaining order, sanitization, and cleanliness in the office especially in the kitchen.
  • Helping with inventory management, food storage, and supply stocking
  • Observing the rules and procedures for food safety and cleanliness
  • Helping as necessary with the ordering and receipt of food and supplies
  • Assisting with recipe creation and menu planning.

  • It is essential that the post holder shows a good understanding and sympathy with Islamic values and principles as well as commitment to Islamic Relief Worldwide vision, mission and core values.
