We are seeking a highly organized and detail-oriented Admin Executive to manage our daily financial and administrative operations. This role requires a proactive individual with strong communication skills and a proven ability to manage multiple tasks efficiently.

Responsibilities:

Administrative Support:

  • Provide high-level administrative support to C-level executives, including managing calendars, scheduling meetings.
  • Prepare reports, presentations, proposals, and other documents as required by C-level executives.
  • Act as a liaison between C-level executives, departments and external stakeholders.
  • Manage and organize documentation (contracts, reports, correspondence).
  • Organize and maintain confidential files and records.
  • Coordinate and prioritize incoming requests and ensure timely responses.
  • Attend meetings, record minutes, and track action items.
  • Conduct research and gather information for decision-making.
  • Oversee office operations, including procurement, repair and maintenance activities and supervising blue-collar staff.
  • Manage office supplies and equipment.
  • Develop and implement Standard Operating Procedures (SOPs) for office functions.
  • Monitor staff attendance and performance.
  • Ensure office cleanliness and manage protocols for executive guests.
  • Manage facility budgets and coordinate with government departments.

Skills and Qualifications:

  • Bachelor's degree in Business Administration, Communications, or a related field (preferred).
  • Excellent written and verbal communication skills in English are compulsory.
  • 4+ years of proven experience in a similar administrative role or supporting senior executives.
  • Familiarity with using AI Prompts for Gemini or ChatGPT for assistance is a MUST.
  • Should have skills in Research and Development. 
  • Proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook) and Google Workspace.
  • Strong organizational and time management skills with the ability to multitask and prioritize effectively.
  • Ability to work independently and handle high-pressure situations.
  • Excellent interpersonal skills and ability to maintain confidentiality.
  • Proactive approach to problem-solving and strong attention to detail.
  • Knowledge of administrative principles, practices and procedures.
