KEY RESPONSIBILITIES:
1) Calendar Management:
Effectively manage the CEO's calendar, scheduling meetings, and appointments, and ensuring timely reminders. Coordinate and prioritize appointments, conferences, and travel arrangements.
2) Communication and Correspondence:
Handle all incoming and outgoing communications, including emails, calls, and written correspondence. Draft, proofread, and edit documents, letters, and reports as required.
3) Meeting Coordination:
Arrange and coordinate meetings, including logistics, agenda preparation, and minutes when necessary. Ensure the CEO is well-prepared for meetings by providing necessary documents and information in advance.
4) Travel Arrangements:
Make travel arrangements, including booking flights, accommodations, and transportation. Prepare travel itineraries and ensure all necessary arrangements are in place for smooth travel.
5) Document Management:
Organize and maintain electronic and physical files, ensuring easy retrieval of information. Manage confidential information with discretion and professionalism.
6) Event Coordination:
Assist in the planning and coordination of events, conferences, and special projects. Collaborate with other departments and external partners as needed.
7) Administrative Support:
Handle general administrative tasks such as expense management, invoice processing, and procurement. Provide support for ad-hoc projects and tasks as assigned by the CEO.
8) Relationship Management:
Liaise with internal and external stakeholders on behalf of the CEO. Build and maintain positive relationships with key contacts.
