The Sales Coordinator provides support to the sales team by managing administrative tasks, facilitating communication between sales and other departments, and ensuring that customer orders and inquiries are handled efficiently. This role involves tracking sales leads, coordinating sales activities, and ensuring that accurate records are kept of customer interactions, quotes, and contracts. The Sales Coordinator plays a key role in streamlining the sales process and ensuring customer satisfaction.

Key Responsibilities:

Sales Support:

  • Assist the sales team by preparing quotes, processing orders, and following up on sales leads.
  • Ensure that customer inquiries and orders are addressed promptly and efficiently.
  • Coordinate with other departments, such as operations and finance, to ensure smooth order fulfillment.

Customer Communication:

  • Serve as a primary point of contact for customer inquiries and complaints, providing accurate information and resolving issues as needed.
  • Follow up on customer orders to ensure timely delivery and handle any concerns related to delays or discrepancies.
  • Maintain positive customer relationships through effective communication and problem resolution.

Sales Reporting:

  • Track sales performance, compile sales data, and generate reports for management.
  • Maintain accurate and up-to-date records of customer interactions, orders, and sales activities.
  • Assist the Director of Sales in preparing sales forecasts, budgets, and performance reviews.

Coordination of Sales Activities:

  • Coordinate meetings, appointments, and presentations for the sales team.
  • Ensure that the sales team has all the necessary resources and information to meet customer needs and close deals.
  • Act as a liaison between the sales team and internal departments, ensuring that sales goals are aligned with company objectives.

Documentation and Record Keeping:

  • Maintain accurate sales records, including contracts, quotes, and customer correspondence.
  • Ensure that all sales documentation is filed correctly and easily accessible for future reference.
  • Prepare and distribute sales materials, such as brochures, product catalogs, and promotional materials, to customers and prospects.

Ledger Reconciliation and Reporting:

  • Reconcile customer ledgers and ensure that accounts are accurately maintained.
  • Share customer balance reports with all sales personnel and obtain signatures from them for verification.
  • Work closely with the finance team to resolve any discrepancies related to customer accounts.

Sales Process Improvement:

  • Identify areas where the sales process can be improved and suggest solutions to enhance efficiency and customer satisfaction.
  • Provide input on new sales strategies, customer service improvements, and marketing initiatives to increase sales revenue.
