We are looking for on site "Admin Manager" for one of our UAE client who will be responsible for overseeing and coordinating office administrative procedures and ensuring general office operations.
Key Responsibilities:
1. Office & Showroom Management:
• Oversee the operational aspects of office spaces and showrooms, ensuring a conducive work environment.
• Coordinate the shifting of departments based on management directives, optimizing space and functionality.
2. Utility & Infrastructure Maintenance:
• Monitor and manage utility bills, including telecommunication, electricity, and water, ensuring timely settlements.
• Supervise maintenance works, renovations, and expansions, ensuring quality and adherence to specifications.
3. Government & Regulatory Liaison:
• Handle renewals of leases, licenses, and regulatory requirements for uninterrupted business operations.
• Coordinate with local governmental bodies and agencies for approvals, inspections, and compliance matters.
4. Travel & Accommodation Management:
• Manage visa applications, flight tickets, transportation, and accommodation needs for staff and board members.
• Ensure the timely and cost-effective booking of facilities and services, upholding company standards.
5. Procurement & Inventory Control:
• Oversee the purchase of office supplies, stationery, furniture, electrical items, and other essentials.
• Manage inventory levels and ensure timely replenishment to prevent operational disruptions.
6. Stakeholder & External Communication Management:
• Foster communication channels with stakeholders, promptly addressing queries, concerns, and feedback.
• Organize corporate events, seminars, or conferences, collaborating with the Marketing department for promotions.
7. Safety, Health & Environmental Standards:
• Implement and review safety protocols, coordinating with agencies for regular drills and training.
• Promote environmentally-friendly practices and engage with eco-friendly vendors and suppliers.
8. Asset & Resource Management:
• Monitor and maintain company assets, coordinating with various departments for updates and checks.
• Collaborate with the Finance department for resource allocation and budgeting, optimizing cost efficiency.
9. Continuous Learning & Process Improvement:
• Identify training needs and organize sessions or workshops, promoting continuous learning.
• Encourage feedback and refine administrative workflows based on evolving company needs.

10. Printing & Branding Coordination:
• Manage printing requirements, from the branding of fleet cars to office stationery, ensuring quality and brand consistency.
• Coordinate the production of promotional materials like brochures, uniforms, gift hampers, and other branded items.
