I have been working with Development Sector since last thirteen years. I have worked on different positions in an International and National/Local level NGOs. My major Experiences are working as a Project Assistant with Mercy Corps Quetta Pakistan and as Human Resource Assistant, Assistant Officer Documentation, Program Associate and Personal Assistant to the Managing Director in Society for Community Strengthening and Promotion of Education in Balochistan (SCSPEB). Currently working as Program Secretary to the Managing Director, Balochistan Education Foundation. My current assignment are to coordination and correspondence with Departments of Government of Balochistan. Handling Reception Desk. Administrative & Clerical Support in General. Handling letter dispatch and managing the mail received. Scheduling appointments with staff, Visitors. Organizing BoDs meetings. Reporting and Documentation.
Handling Reception Desk, Schedule BoDs Meetings, appointments with staff for visitors. Coordination and correspondence with Departments of Government of Balochistan. Providing Logistic and Administrative support in general. Receive all incoming mail and deliveries and dispatch out- going mail. Maintain electronic file system.
Prepare and regularly update contact details of staff, INGOs, NGOs, Govt. agencies and suppliers. Reporting and Documentation. Liaison with donor agencies. Any other duty assigned by supervisor/management.
Administrative Tasks:
• Assist project manager by collecting, consolidating and maintaining data and information for reports and other project documents
• Develop draft meeting minutes and share with project manager/M&E officer for finalization
• Develop draft activity reports and share with project manager/M&E officer for finalization
• Assist project team in maintaining the record of CMWs and LHWs trainings
• Provide general administrative support to the project staff
• Maintain and update files/records of the project documents according to Mercy Corps’ Minimum Standard Checklist. Apart of minimum Standard Checklist, the project Assistant is also responsible for maintaining data/record in soft and hard forms, which also include pictures, activity report, registrations and attendance etc
• Filing and maintaining all project financial documents of project activities ;liaise with administration, finance, MEL, logistic, procurement departments to maintain and update record/files related to Scottish Government Grant
• Any other relevant duty assigned by the Project Manager
• Conduct him/her self professionally and personally in such a manner so as to bring credit to Mercy Corps and in no way jeopardize its humanitarian efforts.
• Follow all MC SOPs on Safety and Security while conducting the activities in the assigned areas of catchment of Population ( CMWs workstation, /Health Facility/ community/ MC office)
Data Management:
• Responsible for collecting and reporting of the program data at Provincial level
• Support project assistant in ensuring data accuracy, validity and integrity in coordination with Project Manager, M&E Officer and Project Officer
• Assist M&E officer in developing draft data collection tools, provide feedback to project staff on Data collection tools and suggest alterations if any
• Support M&E officer in ensuring the integration of SADD in project activities
• Assist in producing monthly/quarterly data related reports, interpretation of the data and report generation on format/graphs/tables to a set template in PowerPoint and/or other reporting formats at Provincial level
• Conduct field visits to cross check, analyze and validate data as and when required
• Assist in monitoring and evaluation of program
SECURITY
• Work closely with the Security Management Team( SMT) Quetta to ensure all Mercy Corps Safety and Security Standard Operating Procedures are followed while conducting the activities in the target areas
