As a Senior Programme Officer at Humanitarian Department of Islamic Relief, I\'m performing the following tasks at a technical level:


Collaborate with technical leads, management, and field teams to develop comprehensive disaster preparedness plans, including the development of DP (Disaster Preparedness) and CP (Contingency Planning) operational plans for each year.


Develop and execute a capacity building plan, ensuring the approved plan encompasses training and development opportunities for Islamic Relief Pakistan (IRP) staff and volunteers.


Deploy to the field for timely and appropriate emergency or disaster response, aligning actions with established plans and expert advice.


Generate regular updates such as SITREPS (Situation Reports), situation analysis reports, and humanitarian context analysis reports on a weekly or monthly basis.


Facilitate effective and efficient coordination and synchronization among all stakeholders, both internal and external, to ensure smooth collaboration and cooperation.


Ensure the timely and high-quality execution of emergency response and recovery projects, while adhering to reporting requirements.


Contribute to IRP\'s resource mobilization plan and participate in the development of concept notes and proposals as assigned by the line manager.


Develop and design catalogues for emergency response kits, providing comprehensive information on the contents and purpose of each kit.


Monitor and control project budgets and finances, ensuring accurate narrative reporting and financial accounting in alignment with appropriate guidelines.


Prepare quarterly, annual, and project completion/progress reports, providing comprehensive updates on humanitarian initiatives.


In my role, I meticulously execute these responsibilities to ensure the successful implementation of projects and the achievement of program objectives. I also fulfill operational-level duties with utmost professionalism. These duties include:


Preparation of comprehensive work plans and detailed social mobilization reports, ensuring a well-structured approach to project implementation.


Diligently maintain hard records comprising field visit reports, minutes of coordination meetings, beneficiary data, assessment records, distribution records, and other relevant documentation. This meticulous record-keeping ensures transparency and accountability.


Prioritize the collection and screening of beneficiary data to ensure accuracy and appropriateness before any transactions or assistance are provided. Adhering to strict protocols guarantees that support reaches those who truly need it.

Surge Emergency Response Roster (Deployment)

As Surge Emergency Response Roster I am deployed in Flood Emergency Response 2022 Team by Islamic Relief Pakistan. My assignment include to support and coordinate with emergency response projects staff in the flood-affected districts of the country. The role is to ensure ER projects are implemented per organizational policies and procedures and in coordination with local administration and humanitarian clusters. The deployment is to keep close liaison with district/provincial administrations and line departments for smooth implementation of the ER projects. With the guidance of ER Manager, I'm maintaing close liaison with humanitarian response team and attend periodic meetings to share progress and understand local needs and  priorities.

As a procurement professional, I exercise full compliance with IRP procurement and administrative rules, regulations, policies and strategies, as well as implementation of the effective internal control systems. Major duties and responsibilities include Provision of effective administrative support in procurement to the implementation of the “IRP Programming”, such as but not limited to:

Assistance in conducting procurement of services/goods and ensures that procurement is in accordance with IRP Procurement Procedures: collects supporting documents; obtains price quotations and prepares comparative tables; makes logistical arrangements for the delivery, including customs clearance and distribution; obtains Receipt and Inspection Reports and acceptance reports from the counterparts.
Arrangments for procurement meetings with the vendors, including organizing the venue, preparing draft minutes of meetings, communicating draft minutes to the participants and receiving feedback. Ensures quality and completeness of filing of procurement documents. 
Assistance in the archiving, filing, and maintenance of up to date electronic mailing lists on programme procurement and technical matters. 
Preparation of Purchase Orders and Contracts, vendor screening & creation in the system, maintenance of the filing system in the procurement unit.
Implementation of the internal control system which ensures that Purchase Orders are duly prepared and dispatched. Timely corrective actions on POs with budget check errors and other problems.
Proper Filing of Confidential Procurement Data as per Archiving Policy of the organization. Vendor screening and Vendor creation in area and field offices are performed by Procurement Officials at Country Office.
Assistance and implementation of the programme procurement processes including preparation and conduct of Requests for Quotation (RFQ), Invitation to Bid (ITB) or Request for Proposal (RFP), receipt of quotations, bids or proposals, their evaluation, negotiation of certain conditions of contracts in full compliance with organization rules and regulations;
Creation of payment vouchers and submission in the finance department. Creation of Good Receiving Note & Delivery Notes in the system (AX)
Liaise with country programmes and project budget holders regarding budget utilization and cost variances such as BVA
