• Manage the smooth implementation of grantees/NGOs’ projects throughout Pakistan.
• Manage revision of work plans, preparation of milestones and suggesting conditions to be applied on CSOs based on institutional Assessments of CSOs.
• Prepare/update M&E manual, M&E toolkit, develop checklists, M&E tools, conduct special assessments and generate task based reports.
• Manage providing backup and support in trainings and facilitating the grantees on monitoring & evaluation tools/techniques and in the development of a project based M&E systems, Project Management Plans (PMPs) with clearly defined activities, indicators, results, means of verifications and their timeframe, in order to ensure quality implementation
• Act as a focal point for information sharing with and from the grantees and implementing partners
• Manage tasks related to grantees performance, implementation, approvals, coordination and payments.
• Ensure review and approval of grantees invoices and monthly expenditure reports (programmatic aspects) before making them payments
• Ensure branding and marking of assigned grantees’ IEC material, radio & cable spots as per USAID standard rules and regulations.
• Ensure updating Grant management information system (GMIS) by grantees, post coding and to generate frequent reports as per requirements.
• Manage data collection, analysis and reporting by grantees as well as implementing partners, which would feed into the consolidated project progress reports.
• Coordinate with different units i.e. Grants Unit, Programme Development Unit, Communication Unit, Finance Unit, grantees, top management as necessary to solve grantees implementation issues for attention/action.
• Manage monthly portfolio review, updating progress meter/target vs. achievements on monthly basis and sharing update with concerned stakeholders.
• Sharing presentations and progress reports of all grantees with concerned stakeholders.
• Compile and consolidate complaints related to grantees and investigate complaints and to take action in consultation with COP.
• Conduct monitoring and evaluation of the grantees for the compliance with programmatic direction against defined indicators in the PMPs as and when required.
• Conduct frequent field monitoring visits, consultation with stakeholders, developing M & E reports and sharing feedback/findings with concerned stakeholders.
• Conduct evaluation of grantees on periodic basis and produce analytical evaluation reports covering the contribution of grantees work to meet project results and to take corrective measure on timely basis if required.
• Coordinate with grantees and organize various coordination/progress sharing meetings as and when required.
• Coordinate with management for providing grantees progress, field security incidents, important events and arrangement of field visits of USAID team.
• Ensure systematically maintaining and keeping the backup of all record related in soft and hard forms relating to unit
• Ensure grant close outs after completion of each grant in coordination with grants unit.
• Assist Data Management & reporting team for data update as and when required
• Coordinate with concerned units in order to expedite process of approvals.
