Making calls and Receiving calls.
Distribute correspondence (e.g. letters, emails and packages)
Answer the telephone and direct the caller to the appropriate person.
Take and retrieve messages for various person through Calls and email.
Coordination with Zonal offices various departments.
Maintain Newspapers record.
Provide callers with information such as company Address, direction to the office location, Fax number, and company website.
Other Responsibilities.
Answer queries by employees and clients.
Reserve Conference Rooms as required.
Maintain
Maintain electronic and hard copy filing system
Maintain office supplies for department i.e. stationary, medicines.
Process payments and follow up with Finance department.
Maintain Petty Cash log.
Maintain attendance of Janitorial staff.
Maintain salary disbursement record of janitorial staff.
Maintain Overtime of admin support team.
Process janitorial staff salary through HR department to TPC (third party contract).
Maintain Fuel records.
Maintain record of company vehicles i.e. yearly monitoring fee, tax payments records, and maintenance expenses.
Maintain Gate Pass book & GRR of Admin department.
Visiting cards of new hiring and other employees as needed.
Assist in resolving any administrative problems
Prepare and modify documents including correspondence, reports, drafts and emails.
Arrange travel and accommodations for guest.
Prepare reports and presentations, as assigned.
Preparing regular administrative reports.
Provide general administrative support including mailing, faxing and copying to management.
